This documentation is for Admins who create and configure application workflows. Prescreen is one of the screens that can be included in a job application. General Information

The Prescreen section of the application workflow allows the Aero Admin user to add up to five Prescreen questions to the application workflow and define the answers as "Yes" or “No”. A rejection process is also part of this workflow section. If the applicant fails the Prescreen questions, they are shown a rejection message, and they exit the application workflow.

The questions that appear in the question drop-down list are taken from the questions that have been configured in Admin Tools > Config Choice > EmployeeInterview and set as visible for at least one branch. Questions can be added, edited, or deleted in this section of the Avionté core application. See Add and Edit Interview Questions for more information.


As questions are selected for the Questionnaire and/or the Welcome: Prescreen workflow sections, they are removed from the Question drop-down list. This prevents accidental use of duplicate questions in the application workflow.


 

Applicant Rejection

If an applicant fails a Prescreen, they do not move on to the next stage in the application workflow. Instead, the applicant is presented with the rejection message and an Exit button.

The Admin must create a rejection message that is displayed when an applicant fails the Prescreen questions. See the Set Rejection Message section below for information on creating the rejection message.

Selecting the Exit button will redirect the applicant to the URL set in the Website link field in the Themes admin page.  See  Admin - Themes for more information on configuring themes.

When an applicant fails a Prescreen, a Talent record is created for that applicant, the record is given a status of "Incomplete Applicant" and the results of the Prescreen are saved. See View and Edit Prescreen Results below for more information on viewing Prescreen results.

 

 

Add a Prescreen Question

  1. In the first available question slot, toggle the switch to "On".

  2. From the drop-down menu, select the desired question.

  3. Select the correct answer for this question.

  4. Select Save.

     

 

 

Remove a Prescreen Question

  1. For the question to be removed, toggle the switch to "Off".

  2. The question is deactivated, and the question and answer are cleared, leaving an unconfigured question slot in its place.


When a question is switched off, the unconfigured question will continue to occupy that space in the list in the Prescreen properties screen.

Applicants will not see the unconfigured question or a blank space when answering prescreen questions.

Set Rejection Message

  1. Click on the Welcome: Prescreen workflow row.

  2. In the Prescreen rejection message to display to applicant field, enter the content of the rejection message.

    • Content can include text or images. 
      • If an image is inserted, a valid URL must be used or a "failed" image icon will appear in the editing box. For instance, in the image below, the entered image link is bad which prompts a "failed" image icon to appear in the editor.

  3. Select Save workflow

 

If the applicant does not correctly answer the prescreen questions, the configured "rejection message" will generate.

Effects of Adding New Prescreen Questions to an Application Workflow 

 

There are three categories of applicant who will be affected by the addition of a new question to the prescreen section of an Application Workflow. 

 

  1. An applicant applying for a job using this Application Workflow for the first time. 

  2. An applicant applying for a job who has passed a prescreen for a different job that used this Application Workflow. 

  3. An applicant applying for a job who has failed a prescreen for a different job that used this Application Workflow.

 

Adding a new prescreen question to an Application Workflow will impact all three categories of applicants. 

 

The table below outlines the three categories of applicant, what they experience when a new question is added to the prescreen section of an Application Workflow, and the possible results of their interaction with the workflow section. 

 

Description of applicant What the applicant sees in the prescreen section Results of applicant interaction
Applicant is applying to a job that uses this Application Workflow for the first time. Applicant sees the current set of prescreen questions. Applicant will pass or fail the prescreen based on how they answer the prescreen questions.
Applicant has already passed a prescreen for another job using this Application Workflow. Applicant sees prescreen questions they have not yet answered. Applicant will pass or fail the prescreen based on how they answer the new prescreen questions.
Applicant has already failed a prescreen for another job using this Application Workflow. Applicant sees prescreen questions they have not yet answered. Applicant will fail the prescreen regardless of how they answer the new prescreen questions.  Once an applicant fails a prescreen in an Application Workflow, they will fail the prescreen for all jobs that use the Application Workflow.

 

 

 

View and Edit Prescreen Results

The results of an applicant’s Prescreen can be viewed and edited in both the Recruiter Module and the Core Application. Any changes made to an applicant’s answers are recorded in the Employee Log. See Employee Log for more information.

View Prescreen Results in the Avionté Core Application

Questions configured as part of the Prescreen workflow section are assigned the category of "Aero Prescreen Questions". Applicant answers appear in the Answer column.

 

Note: Prescreen questions and answers will always be visible in the employee > interview section because they're always tied to the specific config choice for the interview question.

  1. Navigate to Employee.

  2. Perform a search for the applicant.

  3. Double-click the applicant’s name in the search results

  4. Click Interview sub-menu item.

     

 

Edit Prescreen Answers in the Avionté Core Application

  1. Navigate to Employee.

  2. Perform a search for the applicant.

  3. Double-click the applicant’s name in the search results

  4. Click Interview.

  5. Locate the answer to be edited and click Edit.

  1. Select Talent tab to navigate to the Talent section.

  3. Locate the applicant in the search results and select the Q&A QuickView.

Edit Prescreen Answers in the Recruiter Module

  1. Select Talent tab to navigate to the Talent section.

  2. In the Search field, enter the name of the applicant and select 12.png.

  3. Locate the applicant in the search results and select the Q&A QuickView.

  4. The Prescreen results are displayed in the QuickView pane.

  5. Select the Edit icon.

  6. The Question and answer window is displayed.

  7. Edit the content of the applicant’s answer.

  8. Click Done to save the changes.
