Submit a Time Card

If granted by the Avionté administrator, employees can log into the Employee portal and enter and edit their timecard(s). Otherwise, employees can log into the system and view their timecard information, but not edit the timecards. If your site allows timecard entry and editing, follow the steps below to do so.

 

  1. Log into the Employee portal.

  2. Click the Time Entry option. 



  3. Select the work week from the drop-down. The date you select signifies the end date of the work week. Once the employee has selected the work week, all unsubmitted timecards for that week appear in the grid below. If they worked multiple jobs during the week, timecards for each job are listed.

  4. Click the link in the Customer column to display the weekly time entry grid.
    • Note: The fields for entering time can vary, depending upon the needs of the customer for time entry. You may need to enter start and end times, break times, or you may only need to enter just total hours. Complete the time entry as necessary.



  5. When entering your time, keep the following in mind:

    • If you enter your time on a daily basis, enter the time for the day of the week and click Save. Do not click Submit yet, unless all days worked have been entered and you are ready to submit the timecard for approval.

    • If you enter your time for the week all at once, complete all the fields, tabbing through as you enter the time. If several times you are enter are the same, such as Start Time, you can enter that time in the top header column field, then mark the Apply checkbox (far left) for each applicable day. That time will automatically be entered for each day you selected.

    • If the customer you worked for allows you to enter additional items and hours with the timecard entry, such as mileage, double-time, or other expenses incurred, click the Additional Items button and record the information for that item, then click Add when finished.



  6. When your timecard is complete, click the Submit button to submit the time for approval by the customer.

How to Unsubmit a Time Card

If granted by the Avionté administrator, an employee can log into the Employee portal and unsubmit a time card, as long as that time card has not yet been approved.

The following steps describe how to unsubmit a timecard so that the time can be edited. If the timecard has already been approved, it cannot be unsubmitted.

  1. Log into the Employee portal.

  2. Click the Time Entry option.

  3. Select the work week from the drop-down. When selecting the date you select signifies the end date of the work week. Once you have selected the work week, all unsubmitted timecards for that week appear in the grid below. If you worked multiple jobs during the week, timecards for each job are listed.

  4. Click the link in the Customer column to display the weekly time entry grid.
    Note: The fields for entering time can vary, depending upon the needs of the customer for time entry.

  5. Click the Unsubmit button at the bottom of the grid.
     
  6. In the Reason for unsubmit text box, enter the reason why you are un-submitting the time card.

  7. Click the Continue button. The time entry grid is now editable.

  8. Edit the timecard as necessary. For information on entering time and submitting the timecard,view the instructions above.

Configuration for Time Care Unsubmit

The following sections describe what the administrator needs to do to set up the timecard unsubmit feature in the Employee portal of Avionté.

  1. Log into the Admin portal.

  2. Click the Portal Property link in the left-hand menu.

  3. From the Portals drop-down, choose Employee.

  4. Search for and edit the following properties. Click the associated link for each to view additional information.

    Web_TimeEntry_AllowEmployeeUnsubmitTime Enables or disables the unsubmit time option.
    Web_Time_Entry_Employee_Unsubmit_SendEmail Determines whether a notification email is sent regarding the unsubmitted timecard.
    Web_Time_Entry_Employee_Unsubmit_Email_Subject Defines the text for the email's subject line.
    Web_Time_Entry_Employee_Unsubmit_Email_Begin Defines any introduction to the email, such as a salutation.
    Web_Time_Entry_Employee_Unsubmit_Email_Body Defines the body of the email. A default body is provided.
    Web_Time_Entry_Employee_Unsubmit_Email_End Any additional information to be included, such as disclaimer text.

    Looks like their might be a typo. section header near the bottom should read Confguiation for Time CARD Unsubmit. Currently reads Time Care.
