Employee Portal Test

The Employee Portal has been configured according to the selections made on the Employee Worksheet. 

 

Reference the Employee Worksheet when completing the testing steps below to ensure that the selections from the worksheet align with the Employee Portal.

 

Testing is complete when all of the below steps have been completed and the portal selections have been verified.

 

 

Avionté Core Application: Set Up For Verification

Follow these instructions to set up an employee's portal login within the Avionté core application.

Note: To test every facet of this portal, choose an employee that is currently on assignment and has payroll data.

 

 

 

Configure the Web Login

  1. Open the Avionté core application. 

  2. From the Main Menu, navigate to Front Office > Employee

  3. Search for an employee record.

  4. Open the employee record. 

  5. Click the Action drop-down menu and select Web Login.




  6. The Web Login User window displays. Fill out the required fields.



    Field Description
    Login Name Create a name to use when logging in.
    Password Create a password for the login name.
    User Description A brief description about the user.
    Related user A user related to the account (usually yourself). 
    Web Role Select Employee from the drop-down menu. 
    Account Locked Optional checkbox that locks this account so that it is inaccessible.
    Reset Password at Next Login Optional checkbox that will reset the user's password the next time they try to log in. 
    Email Web Login Optional checkbox that emails the login credentials. 


  7. Click Next. 




  8. Select what information is visible in the web portal by placing a checkmark in the checkbox under "IsVisible" (i.e. if you want the education information to appear, check the box under "IsVisible" in the row that says "Education").




  9. Click Finish.

 

 

Configure eDocuments

Follow these instructions if you use eDocuments.

  1. From the Main Menu, navigate to Front Office > Employee > Documents sub-menu
    Note: Search for an employee if needed.

  2. Select the "EDocuments" tab on the right side.




  3. Click New EDocument.




  4. The "E-Document" window displays. Select which eDocument will appear in the Employee portal by checking the box under "Select."




  5. Click Finish.

 

 

Configure Announcements

Announcements can be configured to display in the Employee Portal.

Note: These steps require Admin Tool access.

  1. From the Start Page, navigate to Actions > Admin Tools > System > Announcements

  2. When the "System | Announcements" window displays, click Add New. Blank fields will appear under "Announcement Details."




  3. Fill in the fields:

    Field Description
    Subject Text displayed in the subject line.
    Announcement Text displayed in the body of the announcement. 
    Priority Determines the placement of this announcment in the context of all other announcements.
    Announcement Date The date the announcement will appear in the Announcement section.
    Expiration Date The date the announcement will be removed from the Announcement section.
    User Select the user that will be linked to this announcement as the sender.
    Portal Checkboxes Select the portal where the announcement will appear. Check Employee. for the announcement appear on the Employee portal.


  4. In the "Shared By" panel, select the branches where the announcement will appear by placing a checkmark in the box next to the branch name.





  5. Click Save when finished.

 

 

 

Avionté Employee Portal
Follow these instructions to verify setup in the Employee Portal.

 

Login Page

  1. Open the link to your Employee Portal.
    [3-digit company code].aviontego.com/portals/Login.aspx



  2. Verify that the page is set up to your company's specifications including the logo and color scheme.

  3. Enter your username and password in the blank fields.

  4. Click Login. The Home screen will display.

 

 

Home Page

If you requested the Home page should be visible, it will display.

Home Sub-Page
The Home page will automatically open to the Home sub-page.

  1. Verify that the page is set up to your company's specifications (i.e. required fields, verbiage, etc.) Pay special attention to the items below: 

    Item Description
    Announcements Ensure the announcement posted in the core application is showing.
    Current Assignments Ensure that the employee's assignments are visible.

    Note: Click on Assignment ID to go into the assignment's detail.


Messages Sub-Page

  1. Click Messages on the sub-menu panel. 



  2. Review the messages.

  3. Click on the subject of the message to view the details. 

  4. Click Reply to type a response. A "Post Message" window displays. 

  5. Enter text to display in the subject and body of the message. 

  6. Click Post to send or Cancel to cancel the message.

  7. To create a new message, click New Message

  8. A "New Message" window displays. Enter text to display in the subject and body of the message. 



  9. Click Post to send or Cancel to cancel the message.

Update Account Sub-Page

  1. Click Update Account on the sub-menu panel on the left side.



  2. Users have the option to update their username, password and security questions. Enter text to update the information as needed. 

  3. Click Update to update this information.

 

 

Personal Info Page

If you requested that the Personal Info page should be visible, it will display. 

  1. Click Personal Info from the top menu bar.




Personal Info Sub-Page
The Personal Info page will automatically open to the Personal Info sub-page.

  1. Verify that the page is set up to your company's specifications (i.e. required fields, verbiage, etc.) Pay special attention to the items below: 

    Item Description
    Personal Information Sub-Pages Ensure that the correct sub-pages are visible.


Personal Info Sub-Menu Items (i.e. Contact Method, Skills, Eductation, etc.)

  1. On the sub-menu panel, ensure that the correct sub-menu options are visible.

  2. Click on each of the Personal Info sub-menu items to ensure that the correct information displays.

 

 

Assignments Page

If you requested that the Assignments page should be visible, it will display.

  1. Click Assignments from the top menu bar.




Summary Sub-Page
The Assignments page will automatically open to the Summary sub-page.

  1. Verify that the page is set up to your company's specifications (i.e. required fields, verbiage, etc.)

  2. Verify that the employee's past, current and future assignments are listed. 



  3. Search for an assignment that is not visible.
     

  4. Click the "+" icon to expand the display of Search Options.



  5. Select the search criteria and click Search.




  6. Click on the link under "Assignment ID" for additional details about the assignment.

 

 

Pay History Page

If you requested that the Pay History page should be visible, it will display.

  1. Click Pay History from the top menu bar.




Paychecks Sub-Page
The Pay History page will automatically open to the Pay History sub-page.

  1. Verify that the page is set up to your company's specifications (i.e. required fields, verbiage, etc.). Pay special attention to the items below: 

    Item Description
    Pay History Sub Pages Ensure that the correct sub-pages are visible.


  2. To view specific check information, click a check number under the  "Check #" column. 




Year to Date Sub-Page

  1. Click Year to Date from the sub-menu.




  2. Click the "+" icon to make the advanced search options visible.



  3. Click Search. The individual tax types will be listed with the contribution amounts. 



Work History Sub-Page

  1. Click Work History from the sub-menu for a listing of all assignments this employee has had. 




  2. Click the "+" icon to expand the Search Options window and enter search criteria.




  3. Click Search




W-2 Sub-Page

  1. Click W-2 from the sub-menu. 



  2. This will display all of the W-2's produced in Avionté after Greenshades has been run. 

    Note: This feature will not be available for testing until after tax season.

  3. Click on a year to preview and print the W-2s. 

 

Accruals Sub-Page

  1. Click Accruals from the sub-menu.



  2. The accrual plans are listed. Click View for more details on the specific accrual plan.

 

 

EDocuments Page

If you requested that the eDocuments page should be visible, it will display.

  1. Click eDocuments from the top menu bar.



eDocuments Sub-Page

The eDocuments page will automatically open to the eDocuments sub-page.

  1. Verify that the eDocuments selected on the Employee Worksheet are visible. 

  2. Click Input to view and submit an eDocument.

 

 

Time Entry Page
If you requested that the Time Entry page should be visible, it will display.

  1. Click Time Entry from the top menu bar.



Time Entry Sub-Page
The Time Entry page will automatically open to the Time Entry sub-page.

  1. Verify that the page is set up to your company's specifications (i.e. required fields, verbiage, etc.)

  2. Select the applicable work week from the drop-down menu.



  3. Click on the name of the customer to open the Time Entry page.




  4. Enter time for the employee in the blank fields. 



  5. Click Additional Items to add items to the record (mileage, drug test, etc.)



  6. When finished click Save to save your changes or Submit to submit the finalized time card.

 

 

Log Off

  1. To log off the Employee Portal, select Log Off from the top menu bar.
