Avionté partners with Adobe Sign® to provide electronic document services - PDFs of handbooks, W-4 form templates, I-9 Employment Verification templates, etc. 

 

This article provides:

  • setup instructions for an Adobe Sign account
  • steps to obtain a standard I-9 form from a government website
  • steps to save the standard I-9 form to your computer
  • a DETAILED configuration of an I-9 template so its fields accurately share information between Adobe Sign and Avionté.

Mapping Adobe Sign Document Fields to the Avionté Application 

When a form is pulled into an Adobe Sign account, its fields do not yet match the data expectations of the Avionté application.


The spreadsheet below is used to align or "map" the form's fields to the Avionté application's data labels. The values are in an American format (e.g. date = mm/dd/yy)

Set up an Adobe Sign Account

An Adobe Sign account must be set up with your Avionté SAE (Strategic Account Executive). 

 

  1. Visit https://secure.na2.echosign.com/public/login to access the Adobe Sign account.

  2. Sign into Adobe Sign. The dashboard displays.

 

 

Add a Standard I-9 Form Template to Adobe Sign

  1. Visit a government website and download a standard form in PDF format to your computer.
  2. In the Adobe Sign Additional Functions area, click Add Template to Library.

  3. The Create a Library Template displays. Click Add Files.

  4. Access the area where the downloaded I-9 is stored.

  5. Obtain the PDF. It is now available for editing in the Adobe Sign account.

  6. Name the template.

  7. In the lower-right, configure the Template Type and who can use this template. 

  8. Click Preview & Add Fields.

  9. The document displays and its fields are now able to be configured for proper communication with the Avionté application.

Configure an I-9 Form in Adobe Sign

This process explains how to configure and create a W-4 form so it can accurately share information with the Avionté application and can be used as a reusable template to send to talent.

 

While this process explains how to configure a W-4 step-by-step including specifically what to edit into the Adobe Sign fields, the mapping spreadsheet is linked above and available here:

Beginning with the Last Name (Family Name) field, this process will move field to field through the I-9, adding data fields and configuring what data should be populated.

Note: The employee is referred to as "Participant 1".

 

  1. After adding a standard form to Adobe Sign, access the form. On the right-hand side of the Adobe Sign editor, click the Data Fields menu to display its options.

  2. From the Data Fields menu, click and drag the Text Input option over to the Last Name (Family Name) space. It is ready to be resized to fit into the space.

  3. The field can be re-sized to fit into the space.
    Mouse over the field so the re-size arrows appear.

  4. Drag the the resize arrows to shape the field. The size does not have to be precise. When the talent completes the field, all data will be collected.

  5. Right-click on the Last Name field. The Field Options menu displays.

  7. Click the pencil icon in the top field.

  8. In lower case letters, enter "talent last name write" into the field title space.

  9. From the Assigned To drop-down menu, select Participant 1.

  10. Click the Required box to place a check mark in it.

    The talent last name field is now saved with the edits and displays a red asterisk to indicate that it is required.

  12. On the right-hand side of the screen, click the Data Fields menu to display its options.

  13. From the Data Fields menu, click and drag the Text Input option over to the First Name space. It is ready to be resized to fit into the space.

  14. The field can be re-sized to fit into the space.
    Mouse over the field so the re-size arrows appear. 

  15. Drag the the resize arrows to shape the field. The size does not have to be precise. When the talent completes the field, all data will be collected.

  16. Right-click on the First Name field. The Field Options menu displays.

  17. Select Edit. Editing fields display.

  18. Click the pencil icon in the top field.

  19. In lower case letters, enter "talent first name write" into the field title space. 
    • Every field title must use lower case letters
    • Every field title must be spaced as shown

  20. From the Assigned To drop-down menu, select Participant 1.

  21. Click the Required box to place a check mark in it.

  22. Click OK

  23. On the right-hand side of the screen, click the Data Fields menu to display its options.

  24. From the Data Fields menu, click and drag the Text Input option over to the Middle Initial space. It is ready to be resized to fit into the space.

  25. The field can be re-sized to fit into the space.
    Mouse over the field so the re-size arrows appear. 

  26. Drag the the resize arrows to shape the field. The size does not have to be precise. When the talent completes the field, all data will be collected.

  27. Right-click on the field. The Field Options menu displays.

  28. Select Edit. Editing fields display.

  29. Click the pencil icon in the top field.

  30. In lower case letters, enter "talent middle name write " into the field.
    • Every field title must use lower case letters
    • Every field must be spaced as shown

  31. From the Assigned To drop-down menu, select Participant 1.

  32. Click the Required box to place a check mark in it.

  33. Though Middle Initial is a "required" field, not everyone has a middle name. In the Default Value field, enter "N/A".

  34. To indicate that a user may enter a middle initial over the default value, enter "Enter a middle initial to replace the "N/A" value. If you do not have a middle name, leave "N/A" in this field." When the talent mouses-over the field, the tooltip will display.

  35. On the right-hand side of the screen, click the Data Fields menu to display its options.

  36. From the Data Fields menu, click and drag the Text Input option over to the Other Last Names Used (if any) space. It is ready to be resized to fit into the space.

  37. The field can be re-sized to fit into the space.

  38. Drag the the resize arrows to shape the field. The size does not have to be precise. When the talent completes the field, all data will be collected.

  39. Right-click on the Other Last Names Used (if any) field. The Field Options menu displays.

  40. Select Edit. Editing fields display.

  41. Click the pencil icon in the top field.

  42. In lower case letters, enter "talent previous aliases write" into the field title space. 
    • Every field title must use lower case letters
    • Every field title must be spaced as shown

  43. From the Assigned To drop-down menu, select Participant 1.

  44. Click OK

  45. On the right-hand side of the screen, click the Data Fields menu to display its options.

  46. From the Data Fields menu, click and drag the Text Input option over to the Address space. It is ready to be resized to fit into the space.

  47. The field can be re-sized to fit into the space.
    Mouse over the field so the re-size arrows appear. 

  48. Drag the the resize arrows to shape the field. The size does not have to be precise. When the talent completes the field, all data will be collected.

  49. Right-click on the Address field. The Field Options menu displays.

  50. Select Edit. Editing fields display.

  51. Click the pencil icon in the top field.

  52. In lower case letters, enter "talent street 1 write" into the field title space. 
    • Every field title must use lower case letters
    • Every field title must be spaced as shown

  53. From the Assigned To drop-down menu, select Participant 1.

  56. From the Data Fields menu, click and drag the Text Input option over to the Apt. Number space. It is ready to be resized to fit into the space.

  57. The field can be re-sized to fit into the space.

  58. Drag the the resize arrows to shape the field. The size does not have to be precise. When the talent completes the field, all data will be collected.

  59. Right-click on the Apt. Number field. The Field Options menu displays.

  60. Select Edit. Editing fields display.

  61. Click the pencil icon in the top field.

  62. In lower case letters, enter "talent street 2 write" into the field title space.
    • Every field title must use lower case letters
    • Every field title must be spaced as shown

  63. From the Assigned To drop-down menu, select Participant 1.

  64. Click OK

  65. From the Data Fields menu, click and drag the Text Input option over to the City or Town space. It is ready to be resized to fit into the space.

  66. The field can be re-sized to fit into the space.
    Mouse over the field so the re-size arrows appear. 

  67. Drag the the resize arrows to shape the field. The size does not have to be precise. When the talent completes the field, all data will be collected.

  68. Right-click on the City or Town field. The Field Options menu displays.

  69. Select Edit. Editing fields display.

  70. Click the pencil icon in the top field.

  71. In lower case letters, enter "talent city write" into the field title space. 
    • Every field title must use lower case letters
    • Every field title must be spaced as shown

  72. From the Assigned To drop-down menu, select Participant 1.

  73. Click the Required box to place a check mark in it.

  74. Click OK

  75. From the Data Fields menu, click and drag the Drop Down option over to the State space. It is ready to be resized to fit into the space.

  76. The field can be re-sized to fit into the space.
    Mouse over the field so the re-size arrows appear. 

  77. Drag the the resize arrows to shape the field. The size does not have to be precise. When the talent completes the field, all data will be collected.

  78. Right-click on the State field. The Field Options menu displays.

  79. Select Edit. Editing fields display.

  80. Click the pencil icon in the top field.

  81. In lower case letters, enter "talent state write" into the field title space. 
    • Every field title must use lower case letters
    • Every field title must be spaced as shown

  82. From the Assigned To drop-down menu, select Participant 1.

  83. Click the Required box to place a check mark in it.

  84. The Adobe ESignature Doc Mappings spreadsheet is attached to this article. Download and open it.

  85. Click the State Abbreviations tab at the bottom of the spreadsheet.

  86. Column 'A' features all of the U.S. state abbreviations as well as U.S. territories and military states. Copy the column.

  87. Paste the abbreviations into the Drop Down Options space of the Adobe Sign editing fields.

  88. Click OK

  89. From the Data Fields menu, click and drag the Text Input option over to the ZIP Code space. It is ready to be resized to fit into the 'ZIP Code' space.

  90. Resize the ZIP Code field so it fits in the space. 

  91. Right-click on the ZIP code field. The Field Options menu displays.

  92. Select Edit. Editing fields display.

  93. Click the pencil icon in the top field.

  94. In lower case letters, enter "talent zip code write" into the field.
    • Every field title must use lower case letters
    • Every field must be spaced as shown

  95. From the Assigned To drop-down menu, select Participant 1.

  96. Click the Required box to place a check mark in it.

  97. Click the Validation drop-down menu. Validation options display.

  98. Select US Zip.

  99. Click OK.

  100. From the Data Fields menu, click and drag the Text Input option over to the Date of Birth space. It is ready to be resized.

  101. Resize the Date of Birth field so it fits in the space. 

  102. Right-click on the Date of Birth field. The Field Options menu displays.

  103. Select Edit. Editing fields display.

  104. Click the pencil icon in the top field.

  105. In lower case letters, enter "talent date of birth write" into the field.
    • Every field title must use lower case letters
    • Every field must be spaced as shown

  106. From the Assigned To drop-down menu, select Participant 1.

  107. Click the Required box to place a check mark in it.

  108. Click the Validation drop-down menu. Validation options display.

  109. Select Date. A subsequent Date Format drop-down menu displays. 

  110. Select mm/dd/yyyy

  111. Click OK.

  112. From the Data Fields menu, click and drag the Text Input option over to the U.S. Social Security Number space.
    • Though there may be multiple number spaces shown on the standard form, only one Text Input field is needed to cover all of the spaces. 

  113. Resize the field so it fits in the space. 

  114. Right-click on the U.S. Social Security Number field. The Field Options menu displays.

  115. Select Edit. Editing fields display.

  116. Click the pencil icon in the top field.

  117. In lower case letters, enter "talent ssn write" into the field.
    • Every field title must use lower case letters
    • Every field must be spaced as shown

  118. From the Assigned To drop-down menu, select Participant 1.

  119. Click the Required box to place a check mark in it.

  120. Click the Validation drop-down menu. Validation options display.

  121. Select Social Security Number.

  122. Click OK.

  123. From the Data Fields menu, click and drag the Text Input option over to the Employee's E-mail Address space.

  124. Resize the field so it fits in the space. 

  125. Right-click on the field. The Field Options menu displays.

  126. Select Edit. Editing fields display.

  127. Click the pencil icon in the top field.

  128. In lower case letters, enter "talent email address write" into the field.
    • Every field title must use lower case letters
    • Every field must be spaced as shown

  129. From the Assigned To drop-down menu, select Participant 1.

  130. Click the Required box to place a check mark in it.

  131. Though Employee's E-mail Address is a "required" field, not everyone has an e-mail address. In the Default Value field, enter "N/A".

  132. To indicate that a user may enter an e-mail address over the default value, enter "Enter an e-mail address to replace the "N/A" value. If you do not have an e-mail address, leave "N/A" in this field." When the talent mouses-over the field, the tooltip will display.

  133. Click OK.

  134. From the Data Fields menu, click and drag the Text Input option over to the Employee's E-mail Address space.

  135. Resize the field so it fits in the space. 

  136. Right-click on the field. The Field Options menu displays.

  137. Select Edit. Editing fields display.

  138. Click the pencil icon in the top field.

  139. In lower case letters, enter "talent primary phone write" into the field.
    • Every field title must use lower case letters
    • Every field must be spaced as shown

  140. From the Assigned To drop-down menu, select Participant 1.

  141. Click the Required box to place a check mark in it.

  142. Though Employee's Telephone Number is a "required" field, not everyone has an e-mail address. In the Default Value field, enter "N/A".

  143. To indicate that a user may enter a telephone number over the default value, enter "Enter a phone number to replace the "N/A" value. If you do not have a phone number, leave "N/A" in this field." When the talent mouses-over the field, the tooltip will display.

  144. Click the Validation drop-down menu. Validation options display.

  145. Select Phone.

  146. Click OK.

  147. The 'citizenship' area contains check boxes and fields with conditions dependent on one another. Because the conditions refer to the names of the other check boxes and fields, the names must be installed then the fields must be edited again with conditions that refer to the newly installed names.  

    From the Data Fields menu, drag four check boxes over to steps 1 - 4 of the 'citizenship' area.

  253. In the #4 check box area, right-click on the Country of Issuance field. The Field Options menu displays.

  256. In the Conditions area, select "Enable" from the first drop-down menu.

  257. Select "Any" from the second drop-down menu.

  258. Select "Custom Field 5" from the third drop-down menu.

  259. Select "≠" (does not equal) from the fourth drop-down menu.

  260. Leave the fifth field (under "Custom Field 5") blank.

  261. Click OK.

  262. From the Signature Fields menu, click and drag the Signature option over to the Signature of Employee space.

  263. Resize the field to fit into the space.

  264. Right-click on the field. The Field Options menu displays.

  265. Select Edit. Editing fields display.
    • The field does not need a title.

  266. From the Assigned To drop-down menu, select Participant 1.

  267. Click the Required box to place a check mark in it.

  268. Click OK.

  269. From the Signer Info Fields menu, click and drag the Date option over to the Today's Date space. It is ready to be resized.
    • When the form is filled out by the employee, this Date field found under the Signer Info Fields menu will auto-populate when the signature space is populated.

  270. Resize the field so it fits in the space. 

  271. Right-click on the field. The Field Options menu displays.

  272. Select Edit. Editing fields display.
    • The field does not need a title. 

  273. From the Assigned To drop-down menu, select Participant 1.

  274. From the Field Type drop-down menu, select Date. A subsequent Date Format drop-down menu displays. 

  275. Select mm/dd/yyyy

  276. Click OK.

The Preparer and/or Translator Certification section is only used in the event a preparer will help the employee complete the I-9 form. Two versions of the I-9 should be created as an Adobe Sign template - an "I-9 with preparer" and an "I-9 without preparer" version.

Note: If a If a preparer is used, the preparer is referred to as "Participant 2" and the reviewer becomes "Participant 3."

 

  1. From the Data Fields menu, drag two separate Check Box elements over to the Preparer and/or Translator Certification area. Arrange the check boxes so the area looks like this:

  2. Click the Signature Fields drop-down menu on the right-hand side to display the menu options.

  3. From the Signature Fields menu, click and drag the Signature option over to the Signature of Preparer or Translator space. It is ready to be resized to fit into the space.
