Sending Company Contracts in AviontéBOLD

In AviontéBOLD, users can use Adobe Sign to send onboarding documents to talent and use the integration to send contracts to customer contacts. Users can send Adobe Sign documents from the Company area to specific contacts for the purpose of capturing electronic signatures on company-specific documents, such as contracts and service agreements.

Integration Setup

The Adobe Sign integration must be turned on and enabled before users can send Company Contracts. See the following article for setup instructions:

Template Creation

Before users can send contracts or other documents to company contacts, a template for the contract must be created in your Adobe Sign Library. Users can configure Adobe Sign templates the same way onboarding documents are created. See the article below for instructions on creating e-signature document templates:

Company Contract Setup

In addition to configuring the Adobe Sign integration, additional setup is required to use Adobe Sign for customer contracts in AviontéBOLD.

  1. Click on Account & Settings.
  2. Click on Utilities.
  3. Click on the Adobe E-sign Company Contracts tile.

  4. Your list of e-signature document templates from your Adobe Library appears in the left panel. Toggle templates On to make them available to send to company contacts.
  5. Click on the name of a template to set its properties.
  6. Set the template's Contract Type. The list of contract types pulls from Table Editor > Company Contract Types.
    • Create Company Contracts
      This selection also enables automation in the Company > Documents tab. When this template is sent to a company contact, the Sent box will be checked for the contract type selected in this field.

  7. In the Signatures dropdown, select the number of signatures required before the document is considered complete.
  8. Set permissions for who can send, view, and delete this Adobe Sign document template. Use the Add a group dropdown to add a group, then check the Send, View, and Delete boxes for each group that should have access. Repeat for any additional groups.
  9. Click Save. Repeat steps 3 through 8 for each template toggled On.

Customer Contract Workflow

Once Adobe Sign templates are configured in AviontéBOLD, users are ready to send contracts to customer contacts. To send an e-signature document to a contact:

  1. Navigate to the Company profile and open the Documents tab.
  2. Click Send Contract with Adobe Sign in the Adobe E-sign Documents section.

  3. A fly-out will appear to complete the contract send process. Complete the fields using the definitions below:

Field Explanation
Recipient The contact whose signature is required. Begin typing a name to select from matching customer contacts.
CC Recipients Additional email addresses for contacts who should receive a copy. CC recipients are notified only after the document has been signed and completed. Note: Whether CC recipients can be copied is controlled by a setting on Adobe's side. If CC is not working, contact your Adobe representative to get this configured.
Role Signer — Select if the recipient needs to sign or agree to the document.
Approver — Select if the recipient needs to review and approve the document before it advances to the Signer. The contract moves through recipients in the order they are listed.
Contract Title A free-text title for the document as it will appear in the Company > Documents section. Use this to provide context for internal users.
Jobs (Optional) This field is populated by incomplete jobs.
Email Message The body text of the contract email. Personalize the message that will accompany the document.
Sender Rules Sender Doesn't Need to Sign — Select if the sending user does not need to sign the document.
Sender Signs First — Select if the sender must sign before recipients.
Sender Signs Last — Select if the sender must sign after all recipients have signed.
Contract Type Select which contract type to send.
Adobe Sign Library Documents Select the Adobe Sign template to send. Use Edit & Send to modify the template before it is delivered to the contact.

4. Click Send to send the standard template as-is. Click Edit and Send to modify the Adobe library template before delivery. Once sent, the contract checkbox in the Company Contracts section of Company > Documents will be checked, and the e-signature document template name will appear in the Adobe E-sign Documents section.

5. An email will be sent to the contact with a link to the e-signature document. Contacts can follow the Review and Sign link to read the contract, complete required fields, and sign.

6. Once the document is signed, both the recipient and the sender receive an email confirmation that the document has been completed.

Adobe Acrobat Sign automatically sends periodic reminder emails to recipients who have not yet signed. These reminders are sent on behalf of the sender and come from adobesign@adobesign.com. Recipients can opt out of reminders using a link included in each reminder email.

Note: Advise your team to add adobesign@adobesign.com to their safe sender list to prevent reminder emails from landing in spam.

Tracking Document Status

Adobe Acrobat Sign Notifications

By default, Adobe Acrobat Sign notifies the sender at three key points in the signing workflow:

  • Document Viewed — You receive a notification when the recipient opens the agreement link.
  • Document Signed — You receive an email each time a signer completes their portion.
  • Document Completed — Once all parties have signed, everyone involved automatically receives a "Signed and Filed" confirmation email with a link to the finalized document, often including a copy of the signed PDF as an attachment.

You can customize which events trigger an email — or switch to in-app alerts only — by navigating to Adobe Acrobat Sign > My Profile > Personal Preferences > My Notifications. From there, configure preferences for Agreement Viewed, Signed, Completed, and Canceled/Expired events. Activity can also be monitored via the bell icon on the Adobe home screen or the Manage tab.

AviontéBOLD Notifications and Contract Statuses

BOLD notifies the sender of two contract events:

  • Contract Rejected — If any recipient rejects the document at any stage, the sender receives a notification in BOLD.
  • Contract Completed — Once all parties have signed and the agreement is finalized, the sender receives a completion update in BOLD.

BOLD does not send its own reminder nudges to recipients. All signing reminders are handled by Adobe Acrobat Sign.

The contract status displayed in BOLD reflects the document's current position in the signing workflow in real time:

Status What It Means
Out for Approval The document is waiting on a designated Approver before it advances to the Signer.
Out for Signature The document has cleared the approval step (if applicable) and is now with the Signer.

Submitting Contracts with Prefilled Fields

When submitting company contracts that include prefilled fields, follow these steps:

  1. Complete the required fields in the send fly-out.
  2. Select the prefill document from the Adobe Sign Library Documents dropdown.
  3. Click Edit and Send.

  5. Complete the required prefill fields.
