Admin - Global Settings

The Global Settings area allows an admin to configure settings across the application for functionality that is not confined to only one area. The Global Settings area contains two tabs — General Settings and Interview Questions.

General Settings

The General Settings tab features admin controls used to manage functionality that exists in multiple areas in the application.

Direct Deposit

Direct Deposit data fields can be populated in multiple areas of the application — the Recruiter Module, Talent Module, and Suite application. The Global Settings administration of Direct Deposit gives an admin a one-stop configuration point for all areas that use Direct Deposit.

Talent Duplicate Checking

The duplicate checking feature allows admin users to set up system-wide duplicate checking for the Recruiter and Talent modules. This functionality provides customers the option to set up a system-wide duplicate check to account for redundant employee information entered into the system through resume parsing, manual talent entry, and application workflows. When selected, users are prevented from creating a duplicate Talent Record for talent already existing in the database.

The setting is applied in the Recruiter Module > Admin > Global Settings > General Settings > Talent Duplicate Checking.

Note: Unique email addresses are required to support Talent Profile management. Because of this, email addresses must be unique across the entire tenant regardless of this configuration.

Resolving Duplicate Email Issues

Why Unique Email Addresses Are Required

Unique email addresses are essential for maintaining the integrity of user accounts and ensuring smooth system functionality. Allowing the same email address for multiple account types, such as HCM users and contact users, would create ambiguity in determining roles and routing communications. This policy ensures that each user account functions as intended.

System Behavior with Duplicate Emails

When duplicate email addresses are detected, the system may encounter issues such as:

  • Ambiguity in determining the correct user role or permissions.
  • Blocks in critical processes, such as onboarding, which may trigger error messages like the “Hard Stop” notification. These measures are in place to ensure proper account functionality and accurate communication routing.

Steps to Resolve Duplicate Email Issues

If a duplicate email address causes an issue, such as an onboarding block, follow these steps to resolve it:

  1. Identify the duplicate accounts that share the same email address.
  2. Update one of the records to use a unique email address.
  3. Once the email addresses are unique, retry the blocked process, such as onboarding.

Preventative Measures

To avoid duplicate email issues in the future:

  • Always verify that a new user account is being created with a unique email address.
  • Regularly audit user accounts to ensure compliance with the unique email policy.

Talent Duplicate Check Options

You can choose to check for duplicates based on SSN or Email Address.

  1. Click on the Admin tab.
  2. Click on the Talent module settings button.
  3. Click on the General settings button.
  4. Select the desired option for the Talent duplicate check method field.
    • Email doesn’t have any additional options.
    • SSN options:
      • Last 4 digits
      • Last 6 digits
      • Full SSN

Interview Questions

The Interview Questions tab features a list of questions available for employee interviews. The questions created on this page can then be sent to candidates through the Interview Questions application workflow.

Add an Interview Question

Interview questions are presented to candidates through an application workflow. The questions that are presented are created here. To add an interview question, enter data into the fields according to the field definitions below this image.

Field Description
Question

Enter text into the Question field.

Answers can be in a free-text field, drop-down menu style, etc. The format depends on the way you wish to receive information for the question.

Select an answer format from the drop-down menu.

Category

Similar to Groups, categories help define interview questions. This is a free-text field and any category name can be inserted; however, a question may belong to only one category at a time. Interview questions are arranged according to Category in the Talent’s Q&A QuickView link.

Enter the name of a category to which the interview question will belong.

Answer values Enter the specific answers that will appear as options to the candidate.
Groups Similar to Category, interview questions can also be sorted & filtered by group.

Click Save in the upper-right when a question’s data has been entered.
