Required Setup

Complete the following setup steps before running the Certified Payroll report. Setup is required for the report to generate correctly.

1. Transaction Type Setup

Add fringe rate transaction types in Admin Tools:

  • Fringe Reg — set System Name to Fringe - Hourly Rate
  • Fringe OT — set System Name to Fringe - OT

2. Config Choice Setup

Add Config Choice options in Admin Tools using the Config Choice Options guide.

Create the following Config Choice entries:

  • Project Number — set up under Customer Extra
    • Category: CustomerOrderExtra
    • SystemName: ProjectNumber
  • InvoiceExtra1 — used to pull PO Number from Transaction Extra
    • Category: CustomerOrderExtra
    • SystemName: InvoiceExtra1
  • Project Name — set up under Customer Extra
    • Category: CustomerOrderExtra
    • SystemName: ProjectName
Note: If using the AviontéBOLD integrated solution, the InvoiceExtra1 Config Choice is not needed. POs should be entered under the PO profile tab on the Company record. The job created should reflect the PO number in the Operations & Financials widget on the Job Details page.

Once a Config Choice has been created, add the SystemName under the ChoiceProperty tab:

  1. Go to Admin Tools > System > Config Choice > ChoiceProperty.
  2. Set Category to CustomerOrderExtra.
  3. Under Select Branch, select any branch that needs access to this Config Choice.
  4. Set ChoiceCode to ProjectName.
  5. Under SystemName, enter: Project Name.
  6. Check Apply changes to all Branches if needed.
  7. Select Save.

3. Customer Setup

Enable Certified Payroll at the customer level.

  1. Go to Main Menu > Customer (confirm you are on the correct customer office).
  2. Select Sales & Service > Service Info.
  3. Check the Certified Payroll box.
  4. Tab off to save.
Note: Checking Certified Payroll automatically enables the Generate Daily Time Entry box, since Certified Payroll requires time to be entered daily in Card View. You can still generate paychecks on a weekly basis.

4. Job Order Setup

Certified Payroll must also be enabled at the job order level.

  1. Go to Main Menu > Order > Search Order ID > Detail > More Info (right side menu tab).
  2. Check the Certified Payroll box.
  3. Tab off to save.

5. Project Name Setup (Job Order Level)

The Project Name must be added at the job order level for it to pull into the report correctly.

  1. Go to Main Menu > Order > Extra.
  2. Set Label to Certified Project Name.
  3. Under Value, enter the project name.
  4. Tab off to save.

Running the Certified Payroll Report

This completes the setup for Certified Payroll. Keep the following in mind when processing and running the report:

  • Certified Payroll transactions must be processed in a separate Time Entry and Payroll batch. If processed alongside non-Certified Payroll transactions, they will not pull into the report.
  • You do not need to post the Payroll Batch for data to appear — only process it.
  • When running the report, leave the Project Name field blank. Project Name data pulls from Job Order > Extra, along with any other job order extras added for Certified Payroll.
Note: Changes to Config Choices are not retroactive. If you update ChoiceProperties after a Time Entry Transaction has been created, the changes will not apply to existing transactions. To apply the changes, delete the existing transaction and create a new one.
