Revised I-9 Summary & Configuration – BOLD (Adobe Sign)

The revised I-9 released to BOLD clients requires a specific configuration to ensure proper completion by both the employee and employer. 

 

Revision Summary

The USCIS (United States Citizenship and Immigration Services) made changes to the I-9, a summary of some notable changes is below. This list is not comprehensive, please reference the I-9 instructions found here: I-9, Employment Eligibility Verification (uscis.gov). 

 

Section 1 

All employees must provide their current legal name, complete address, and date of birth. If other fields do not apply, the employee will leave them blank on the form. 

Providing a 9-digit Social Security number in the Social Security number field is voluntary, unless the employer participates in E-Verify; it is important that you instruct the employee to fill out the SSN (Social Security Number), if this applies. 

 

N/A option

N/A is no longer required on the new I-9. The only N/A that remains is on A noncitizen (other than Item Numbers 2. and 3. above) authorized to work: you either enter the expiration date of the employees document or N/A. 

 

Section 2 

We have added “Please select option below” in the fields that have multiple selections. As the employer, you must ensure the proper List A, B or C document is captured on the form by clicking on the drop down and selecting the appropriate document, and issuing authority and expiration date, if applicable.

Alternative procedure 

 A new box is listed on the I-9, as an alternative procedure for remote verification. Please refer to the USCIS website to determine if you are permitted to utilize this alternative procedure: Remote Examination of Documents (Optional Alternative Procedure to Physical Document Examination) | USCIS

Setup

  1. Log into the platform and follow this path: Account & Settings Icon > Utilities

  2. From the Utilities page, navigate to Talent Onboarding Tasks and open it

  1. Use the drop-down arrow for E-Signature Templates to expand the template library & scroll down to “Form I-9 (Rev 8-1-2023) V2”. Click it to open the template Properties & Permissions.

  1. Configure the revised Form I-9 settings by changing and selecting:

    - Template Type = “I-9” 
    - I-9 with Preparer Template = “Form I-9 with Preparer (Rev 8-1-2023) V2”.

  2. Copy or manually Add Group Level Permissions using the dropdowns. Click Save to complete.

  3. Click the On/Off toggle to turn On the Form I-9 (Rev 8-1-2023 V2).

Managing the I-9 E-Signature Template and ID-Photo Requirement

The I-9 e-signature template and its related requirements are both controlled from the same location used above: Account & Settings > Utilities > Talent Onboarding Tasks > E-Signature Templates.

  1. Expand E-Signature Templates and locate the active Form I-9 template in the list.
  2. Click the template name to open its Properties & Permissions panel.
  3. Use the On/Off toggle at the top of the panel to enable or disable the template for use in onboarding packets. Turning a template Off immediately removes it from the E-Signature Documents picker when sending onboarding tasks — it does not delete talent who have already completed it.
  4. Within the same panel, locate the ID-photo requirement toggle (the document/photo capture requirement). When enabled, the talent is prompted to upload a photo of their supporting ID document as part of Section 2 completion; when disabled, the employer can complete Section 2 without a talent-submitted photo on file.
  5. Click Save after making changes. Only one I-9 template should be toggled On at a time to avoid presenting talent with a duplicate or outdated version.

Troubleshooting: Adobe I-9/EEO Task-Requirement Errors

Onboarding workflows sometimes fail to progress because a Job Order or Assignment requirement is looking for an I-9 or EEO task that hasn't been completed, is mapped to the wrong template, or was disabled after being required. Typical symptoms include a talent's onboarding task appearing stuck at "Sent" or "Pending," or a job fill being blocked with an I-9/EEO requirement error even though the talent has an in-progress or completed I-9.

  • Confirm the correct I-9 template is turned On in E-Signature Templates (see above) and that it matches the template referenced by the job/requirement configuration.
  • Confirm the talent's task was sent using the currently active template — a task sent from a since-disabled or replaced template can leave the requirement unable to resolve.
  • Check that the EEO task (if required separately) has its own template enabled and permissioned the same way as the I-9 template.
  • If the requirement still won't clear after the I-9/EEO task is verified complete, use the Table Editor workaround below as a temporary measure while the underlying template/task mapping is corrected.

Table Editor Workaround: Temporarily Disabling the I-9 Requirement

When a job or workflow requirement is incorrectly blocking a fill because of an I-9 task-requirement error that can't be resolved immediately through the standard E-Signature Templates setup, the I-9 requirement can be temporarily disabled at the record level using Table Editor so the fill isn't held up while the template/task issue is investigated.

  1. Go to Account & Settings > Utilities and open Table Editor.
  2. Locate the job requirement record that references the I-9 requirement for the affected job or placement.
  3. Temporarily uncheck/disable the I-9 requirement flag on that record so the fill or onboarding step can proceed.
  4. Re-enable the requirement once the I-9 template configuration or task mapping has been corrected, so compliance tracking is not left permanently disabled.

Note: Table Editor makes direct changes to underlying records. Treat this as a short-term workaround, not a permanent substitute for I-9 compliance tracking, and re-enable the requirement as soon as the root cause is fixed.
