The Billing tab on a company's record in Avionté BOLD includes three areas: Invoice, AR Balance, and Credit Limit. The Invoice tab lists the company's invoices and lets you view, download, and print them. The AR Balance tab shows accounts receivable aging data for the company. The Credit Limit tab lets agencies view and manage a company's credit limit, Payment Options, and Hold Code — all without switching to Back Office.
Key Takeaways
- The Billing tab on a company record includes an Invoice tab, an AR Balance tab, and a Credit Limit tab.
- The Invoice tab lists a company's invoices, with filters for date range, company office, and invoice status.
- The AR Balance tab shows accounts receivable aging data, with an As of Date selector, an Office filter, customizable columns that persist across sessions, and an export option.
- View and manage a company's credit limit directly on the Credit Limit tab, under Billing, on the company record in BOLD.
- Every credit limit change is logged in BOLD Audit.
- The company's Payment Options (bank information) can be configured from the Credit Limit tab.
Invoice Tab
Open a company's record and go to the Billing tab, then select Invoice. By default, the Invoice Summaries list shows all invoices for the company.
Filtering Invoices
When filtering, it may take a few seconds for the data to load — the larger the date range, the longer it may take. You may briefly see the following on the Invoice tab while the data loads.
Invoices on the Invoice tab are always scoped to the company record you are viewing.
Click Filter in the top right to open the filter panel:
- Invoice Date Range — select a date range for the invoice search.
- Company Office — search for and select a specific office, or leave blank to include all offices.
- Invoice Status — check Only open invoices to include only open invoices.
Click Apply to run the filter, or Cancel to close the panel without changes.
Viewing, Downloading, and Printing an Invoice
- Click an Invoice icon in the View Invoice column.
- The invoice opens in a new tab.
- Example of an invoice:
Once you are viewing the invoice, you can download it.
Or print it.
Invoice Audit
Click the i icon next to an invoice in the Invoice Summaries list to open its audit log. It shows what changed on that invoice, the previous and new values, who made the change, and when — the same audit pattern used elsewhere in BOLD for Talent, Jobs, Companies, and Contacts.
AR Balance Tab
Open a company's record, go to the Billing tab, and select AR Balance to view accounts receivable aging data for the company — without switching to Back Office. This feature is available to integrated-environment clients only (Back Office + BOLD integration) and is not available to BOLD-only clients. By default, the AR Balance list shows the company's open invoices with the following columns: Invoice Date, Invoice Number, Invoice Amount, Age 0-30, Age 31-60, Age 61-90, Age Over 90, and Balance Amount. If the company has no open AR balance as of the selected date, the tab displays a message such as No open AR balance as of [date].
Filtering the AR Balance List
Click Filter in the top right to open the filter panel:
- As of Date — select a date to view aging calculations for a specific point in time, rather than only the current date. This lets you reproduce an aging snapshot as it stood on any prior date.
- Company Office — select one or multiple offices to narrow the results. Defaults to all offices you have access to.
Click Apply to run the filter, or Cancel to close the panel without changes.
Customizing Columns
Click the column display icon next to Filter to choose which columns appear in the AR Balance list. By default, the aging columns (Invoice Date, Invoice Number, Invoice Amount, Age 0-30, Age 31-60, Age 61-90, Age Over 90, and Balance Amount) are shown and checked. Additional columns are available to add: Due Date, Payment Amount, Last Payment Date, Unapplied Cash, Finance Charge, Payment Terms, and Office. Check or uncheck a column to show or hide it — column selections persist across sessions.
Exporting the AR Balance List
Click the export icon next to the column display icon to download the AR Balance list as an Excel or CSV file to your local computer. Every AR Balance export is logged in the Export Audit Log.
Credit Limit Tab
Open a company's record, go to the Billing tab, and select Credit Limit. This section shows:
Credit limit configuration applies at the company level only — Back Office DRMs validate against the company's total credit limit, not individual company offices.
- Credit Limit — the company's credit limit.
- Current AR Balance — read-only, and reflects the balance from Back Office in real time. There is no manual entry required.
- Hold Code — controls what happens when a company reaches its credit limit (for example, a credit check or a negative-credit flag). The options available in this dropdown are configured by administrators in the Config Choice section of BO Admin Tools, and only hold codes enabled for the company's office are shown.
- Alert Value Type and Alert Value — sets the threshold that triggers a credit limit alert, as either a flat dollar amount or a percentage. This is configured by the account owner. Switching the Alert Value Type updates how the Alert Value is displayed without changing the underlying threshold.
- Payment Options — the company's bank information (bank name, account number, routing number, and notes) used for payment processing. Multiple payment options can be added, with one marked as the Default.
To add a new payment option, click + New Payment Option, enter the Bank Name, Account Number, Routing Number, and any Notes, and click Save. To edit an existing payment option, click the pencil icon next to it; to remove one, click the trash icon. Select the radio button next to a payment option to set it as the Default. Account Number and Routing Number are masked; click the eye icon next to either field to reveal the value.
The Credit Limit Exposure slider shows how much of the company's credit limit has been used, based on the Current AR Balance. The red marker on the slider is the alert threshold — a DRM in Back Office fires when the AR Balance reaches it.
Editing the Credit Limit, Hold Code, or Alert Value requires the Edit Credit Limit permission that must be enabled for a user by an administrator.
Audit Trail
Every change made to a company's credit limit is recorded in BOLD Audit, including the previous value, the new value, the user who made the change, and the date and time.
