Certifications Document Security

Hello!

We are a longtime Avionte Classic customer in the process of converting to BOLD.  We have a lot of private documents saved in Classic under certifications.  We have our certifications locked down so that only necessary, specific team members can see the documents.

In our BOLD test environment, certification documents are totally open to everyone. Any member of the team can access certifications, open the documents, download them, or delete them.   There is no way to lock the certification documents down. This is a major and critical issue for us, and Avionte is telling us there is no fix for it.

Are there any helpful workarounds anyone else has found for this issue?

  • The only thing we've been able to do is add them to the candidate's profile under Documents. There you can mark it as Private, which limits who can see it internally.  You can also toggle a switch to publish it to the candidate's portal or not.  

    Who can see private documents is controlled by the Modification Access setting.  Here's the article In support.

    Who can mark documents as private/share and who can see my private/shared documents?

    The ability to gain access to Private Documents corresponds to your Delete Access Setting. To update or change Delete Access, go to Utilities –> User Accounts –> Edit Access.

    • Delete None: Users with their Delete Access set to this level will not be able to mark any documents as private (even their own) or view any private documents.
    • Delete Own: Users with their Delete Access set to this level will be able to view documents that are not private and will be able to set the privacy of their own documents.
    • Delete Admin: Users with their Delete Access set to this level will be able to view all documents (even if set to private by other users), and set the privacy of all documents (even documents that were uploaded by other users).

    Then you have to create the Talent Document Type in Table Editor that will be used for the cert and can require that document type in Custom Filled Job Requirements on the company profile.  We require both templates (Custom Filled Job Requirements & Custom Job Order Templates) for all orders.  

    The actual Certification section in Bold is pretty new and, to your point, not as useful as it could be.  We don't use it at all.  

    Hope this helps.  It's a game of workarounds.

  • Thanks!  We do already have document privacy figured out for regular documents, and plan to move our certification documents to regular documents.  We were hoping for something different, but the explanation that BOLD certifications are new helps me understand why Classic certifications are so much better developed than BOLD certifications.
