Welcome Email Expiry

We are encountering a high candidate drop off whereby they are sent a registration package via AdobeSign/Avionte integration and don't log in within the first 24 hours to access their account.  If they try to access after the 24-hour window has expired get a message saying their account has expired and they must follow a convoluted process to gain access to Avionte and complete the registration document.  We are finding a high number of candidates simply give up and move to another staffing agency with an easier login process and don't sign on with us.

Ideally we are looking for something like the following:

  1. Welcome email with at least a 72 hour expiry – if not longer, perhaps 7 days.
  2. Auto reminder email after 24 and 48 hours to the candidate to alert them that they have not logged in

I have mentioned this to our Avionte reps multiple times and asked for this as a feature enhancement but have been repeatedly told this is not in the pipeline and there are no plans to make any changes.  I imagine this must be affecting other customers too.  I am hoping if multiple clients can pool their support behind a change request like this, then maybe Avionte will add it to their design strategy.

So, is anyone else suffering from this too?

  • I attended the Avionte Connect conference at the beginning of August.  I asked the same question to one of their techs.  It took 5 different people before we found one person that was aware that the login expired after 24 hours.  I have inquired about this in the past.  I don't see the point of having an Avionte login for candidates if the login expires in 24 hours.  We do not have the staff to babysit candidate logins.  Candidates do not check their email very oftern so 24 hours is not long enough.  I suggested at least a week.  Avionte has 2 factor authentication enabled so I am not sure why there would be a security issue on letting the invitation hang out there for a little longer.   They told me they would look into my suggestion and that they had heard from someone else who entered a ticket about the same thing.  I told them the ticket was not from me but we had the same concern.  I hope they listen.

  • Yes and it would be nice if the candidate could refer to the link in the same welcome email to login in the future AFTER setting up an account. Also, the reset password link expires in two hours which is also frustrating.

  • We have observed a recurring concern amongst our candidates regarding the expiration of their login credentials. Repeated requests for login information not only hampers our recruiters' efficiency but also proves to be an unproductive use of their time. We support extending the expiration period to either 72 hours or 7 days as suggested.
