Hi all!
Knowing whether your candidates are actively seeking, interviewing, on assignment, or available is crucial for effective recruiting. But managing candidate statuses in Avionté can become overwhelming without the right processes in place, and maintaining consistency across your team becomes a real challenge.
Without systematic status management, updates either don't happen at all, or your recruiters waste valuable time hunting down current candidate information. This not only hurts productivity but also impacts your ability to run accurate searches and generate reliable reports for clients.
Foundational Statuses:
While we're talking about candidate statuses, here's our suggestion on some foundational ones. You may already have some of these, and some may not apply, but use whatever is beneficial to your agency!
- Applicant/Online Applicant
- Initial Review
- Onboarding
- Screening (can be broken into specifics as needed, i.e., Background Check, Drug, etc)
- Active/Available
- On Assignment (potentially redundant depending on your agency's use of Placement Status)
- Inactive (no longer interested in work, talent decision)
- Do Not Assign (staffing agency decision to not place talent on assignment anymore)
Leverage Built-in Automation and Use Smart Search Strategies for Status Cleanup:
- Set up automated workflows for onboarding that trigger status changes based on specific candidate actions
- Run "Current Placement Status > Active Contractor" searches to ensure all talent on assignment have the correct status – no active contractors should show as Applicant, Online Applicant, or Onboarding
- Search by specific statuses to identify candidates who may need status updates based on recent activity. Be sure to include Last Activity Days and Last Activity Date columns to help determine what action to take
-
Export results and filter to spot patterns in status inconsistencies across your database
Establish Process Standards:
- Define clear status definitions and when each should be used
- Real-time updates: Change statuses immediately (as applicable!) after candidate interactions
-
Regular cleanup searches: Use Avionté's search filters to catch status inconsistencies
How Will This Impact Your Business?
By ensuring candidate statuses always reflect current reality, you'll have a clear, accurate view of your entire talent pipeline. Your recruiters will spend less time verifying candidate availability and more time making placements.
With this enriched, reliable data, you'll generate more insightful reports that help you optimize your recruiting strategies and demonstrate real value to clients.
