Yardstik License Data Verification Integration

Integration Setup

This is a self-serve integration in that you can enable and configure as long as you have your account credentials from Yardstik. To enable and configure the integration, users need to have the Marketplace Admin user permission enabled.

Users who open Yardstik from the Marketplace, without the Marketplace Admin permission, will see the following message.

 

Marketplace Integration Enablement

You will find the Yardstik integration in the Marketplace and will have options to (there may be two Yardstik tiles, make sure it is the one with License Data Verification)

• Receive more information regarding Yardstik and the integration offering

• Enable the integration yourself if you are an existing Yardstik customer and have your Yardstik credentials

Yardstik Account Configuration & Validation

To utilize the Yardstick integration in BOLD, click on the Edit Account Credentials button, you will need to enter the Partner API Key - Provided by Yardstick. Click the Verify Account button to validate the configured credentials. 

Validation Errors

• If required credentials are missing
• If Partner API Key is invalid

Once the right API Key is provided, you will see the below confirmation message:

 

Marketplace Integration Configuration

Once your Yardstik account is validated, you will need to complete your integration configuration.

Please Note: Before saving the marketplace configurations for this integration, make sure that Yardstik has configured packages.

Once saved, the marketplace configurations automatically turns on the integration by turning the system feature for Yardstik License Data Verification.

Marketplace Audit

Changes to the integration configuration are being tracked in the Marketplace Audit.

Able to filter the Marketplace Audit based on the following:

A search field is available to perform keyword searches within the Marketplace Audit.

User Level Permissions

User level permissions help ensure that users have the proper permissions and access to the license verification data and features. By combining these user permissions in BOLD, there is more flexibility and options for the level of license verification access given to a user:

Job Requirements

Company Level Requirements

You are able to configure company level license data verification requirements that would apply to placements made for jobs with the company requirement set.

Navigate to Company > Requirements > Custom Requirements

Configuration Steps

• Select a Certificate Category from the dropdown and choose the Certificate
• Specify if the certificate is required to be present or verified
  • Certificate – As long as the Talent has the certificate on the record, they can be placed
  • Verified Certificate – Talent must have a certificate and the certificate needs to be verified as valid in order to be placed.

 

Placement Validation

Upon placing a talent who doesn’t meet the company-level job requirements, an error will be displayed in the placement flyout.

 

How to Order a License Data Verification

Send a License Data Verification Request - With Provider Consent

1. Navigate to the Talent profile > Certificates tab [Here is how to configure Certificates: https://avionteboldsupport.zendesk.com/hc/en-us/articles/5857893617043-Setup-Certification-Options-for-Certificates]
2. Select the certificate
3. Click on the icon to order the Certification Verification. An aside opens up

4. Enter Required Talent Information

5. Select Location
6. Select Package
   
   • Package dropdown will be empty if Yardstik has not configured packages for your tenant. Please contact Yardstik for further information.
7. Set Expiration Days
8. Click Submit & Save Talent
9. If talent data is entered or updated in the flyout, data will be saved back to the talent record

 

Send a License Data Verification Request - With Staffing Company Consent

1. Navigate to the Talent profile > Certificates tab
2. Select the certificate
3. Click on the icon to order the Certification Verification. An aside opens up

4. Enter Required Talent Information

5. Select Location
6. Select Package
   
   • Package dropdown will be empty if Yardstik has not configured packages for your tenant. Please contact Yardstik for further information.
7. Set Expiration Days
8. Click Submit & Save Talent
9. If talent data is entered or updated in the flyout, data will be saved back to the talent record

Upon clicking submit, the request will be sent to Yardstik. 

License Verification Order Management

There are a few tools to help you manage your license data verifications and results efficiently so you can place talent on jobs quickly.

Talent Certificate Page

Once a license data verification is ordered, you will be able to view all the details in the Certificates tab of a Talent profile.

Features & Field Definitions

Consent Fields	Used to indicate if the talent completed a License Data Verification consent form
	If the Marketplace consent setting is set to Staffing Company and the Talent Given Consent field is set to No, the Order a License Data Verification button will be greyed out
Verification Date	Verification completed date
Verification Result	Results sent back from Yardstik
Verification Status	The current state of the order
	Status Values: Sending Order Request, Sent, Pending Signed Consent, Pending Talent Action, Pending Recruiter Action, Results Pending, Completed, Cancelled

Additional options available on the Talent profile:

• The Edit button allows the user to update any information on the Talent's certificate. Click on the save button to save any changes. 
• The Renew button allows users to renew a Talent's certificate. Upon renewing, you will be able to see a Renewed Date added to the certificate. However, once a certificate is renewed, any existing verification results will be reset to 'Not Started'. A new license verification order should be placed if the renewed certificate needs verification. Users may manually add verification results by clicking on the edit button.
• The Delete button deletes the certificate from a Talent's profile. The audit is available in the talent audit.
• The Order History button allows the user to view basic details about the license verification history by opening an aside shown below:

Talent Audit

Changes made to the verification order from either the user or Yardstik, are tracked in the talent audit.

Talent Search Terms

License verification search terms have been added to the Certifications dropdown in BOLD.  The search terms allow you to perform AND/OR searches to find the right results.

In addition to the existing certifications search terms, users will now be able to search for certifications based on expiration and verification statuses. 

 

Background & License Verification Widget

The background & license verification widget can be used to manage open background check orders, orders with results that need to be reviewed, and completed orders.
