How to configure the Dental Eligibility Code for Canadian Employees
The Canada Revenue Agency has introduced a mandate necessitating the disclosure of whether an employer has granted employees access to dental care insurance or any form of dental service coverage. This disclosure is required using the following codes:
Code 1 |
No dental insurance or coverage of any kind |
Code 2 |
Payee only |
Code 3 |
Payee, spouse and dependents |
Code 4 |
Payee and their spouse |
Code 5 |
Payee and dependents |
There are three configuration Options that a user can manually configure to set Dental eligibility Codes:
1. Supplier Configuration - Admin Tools > Employer > Detail > Supplier Properties which filters down to all associated Branches/Employees.
- The user needs to manually configure the Property identifying the {Form Type}DentalBenefitCode{Year}, and the Employer Dental eligibility code of 1, 2, 3, 4 or 5 under the Value.
2. Branch Configuration - Admin Tools > Employer > Branch > Branch Properties which will override the supplier level setting, which filters down to associated Employees.
- The user needs to manually configure the Property identifying the {Form Type}DentalBenefitCode{Year}, and the Employer Dental eligibility code of 1, 2, 3, 4 or 5 under the Value.
3. Employee Configuration - Employee > Extra which will override the Branch setting.
- The user is required to create a new Config Choice
- User needs to manually configure the Admin Tools > Config Choice > Employee Extra Choice code where System Name is {AccountNumber}{FormType}DentalBenefitCode{Year}.
Example: - 123123123RP1234T4DentalBenefitCode2023
- 123123123RP1234T4ADentalBenefitCode2023
- User needs to manually configure the Admin Tools > Config Choice > Employee Extra Choice code where System Name is {AccountNumber}{FormType}DentalBenefitCode{Year}.
- The user can opt to create a Mask Type to ensure only a singular numeric digit is used by creating a Mask Type under Admin Tools > Config Edit Mask Type and on the Config Choice using ValueType=Mask and ConfigEditMastTypeID=to the applicable Mask Type ID.
Config Edit Mask Type ID = 77 | OneDigitInt | n | n | One Digit Integer
Value Type = MASK; ConfigEditMaskTypeID = 77
2. Create an Employee Extra value for each supplier the Canadian Employee has had a 2023 payment check under with the appropriate singular numeric Dental eligibility code of 1, 2, 3, 4 or 5.
Results of this configuration:
- When processing Yearend tax forms, the user will be notified if there are missing Dental eligibility codes during Weekly Process > Actions > Generate T4/T4A > Generate T4 Data with an Error of: "T4 Employer-Offered Dental Benefit Code missing or invalid"
- When creating the T4/T4A XML under Weekly Process > Actions > Generate T4/T4A > Generate T4 XML the following tags will be included:
- T4 <empr_dntl_ben_rpt_cd ></empr_dntl_ben_rpt_cd>
- T4A <payr_dntl_ben_rpt_cd></payr_dntl_ben_rpt_cd>
- When executing Weekly Process > Actions > Generate T4/T4A > Run T4 Report the Dental Eligibility code configured for:
- T4's will flow to T4 Box 45
- T4A's will flow to T4A Box 15
