What is the improvement?
AviontéBOLD now supports flexible pre-employment document collection for SimpleVMS candidates. Key enhancements include:
- Submit candidates before all onboarding documents are collected
- Automatic nomination stage update to "VMS Pre-Employment Reqs" when additional documents are needed in order to hire the talent
- Resubmit documents after initial submission to complete the placement
This enhancement accommodates temp-to-hire and post-interview document collection workflows commonly used in light industrial and healthcare staffing.
Why?
Many clients use temp-to-hire workflows where onboarding documents like driver's licenses are collected after the interview rather than at initial submission. Previously, the BOLD-SimpleVMS integration required all documents upfront, creating workflow gaps that forced some agencies to bypass the integration entirely.
This update aligns the integrated experience with SimpleVMS's native flexibility, enabling agencies to leverage automation while maintaining their preferred hiring processes.
How does this impact you?
When submitting candidates to SimpleVMS through BOLD:
- Job requirements marked as "Vendor Retains" or "Attached on Submittal" must be completed before you can submit the candidate. These requirements will be displayed with a red asterisk (*) in the BOLD candidate submission screen.
- Documents marked as "Pre-Employment" are needed to hire the talent but are not required at initial submission
If an employer attempts to hire a candidate before all documents are submitted, BOLD will automatically update the nomination stage to "VMS Pre-Employment Reqs" in the nomination bucket of the Candidate/Talent Management screen. Simply return to the candidate submission screen, upload the remaining documents, and resubmit to complete the placement.

What is the improvement?
BOLD's Talent Profile now includes a centralized Tax Setup feature that consolidates all tax-related information in one location. This enhancement provides real-time visibility into tax configurations directly within the Front Office interface.
Key features include:
- Tax Details tab: Configure and manage US Federal, State, CA Federal, and Provincial tax information without switching to Back Office
- Tax History tab: View comprehensive historical tax deductions organized by year, showing both talent (employee) and employer portions
- Granular user permissions: Four distinct permission levels control access to tax editing, tax exempt status, active status, and IRS Lock-In fields
- Add Default Taxes button: Automatically generate tax information based on the talent's geocode
- Check Delivery Options: Select how paychecks are distributed to employees
- Talent Tax Setup Audit: Track all tax configuration changes with detailed audit history
- Two-way synchronization: Changes sync between BOLD Front Office (Talent > Tax) and Back Office (Employee > Payroll > Tax)
Why?
Previously, recruiters and HR administrators had to switch between BOLD and Back Office systems to view or update tax information, creating inefficiencies and increasing the risk of data entry errors. Tax configurations were fragmented across systems, making it difficult to get a complete picture of a talent's tax setup.
This improvement eliminates system-switching by bringing all tax functionality into the Front Office, where recruiters and HR teams spend most of their time. The centralized approach improves efficiency, reduces errors, and provides real-time visibility into tax configurations. Granular permissions ensure that sensitive tax settings (like tax exempt status and IRS Lock-In) remain secure while still allowing appropriate users to manage routine tax updates.
How does this impact you?
For Back Office Integrated Customers: This feature provides a streamlined tax management experience. To get started:
- Ensure proper permissions are configured: Review the four tax-related permissions (Edit Talent Tax, Edit for Tax Exempt, Edit for Active, Edit for IRS Lock-In Letter) and assign them based on user roles and responsibilities

Access Tax Setup: Navigate to Talent Profile > Tax tab to view the Details and History tabs.
Note: The Tax tab now holds Tax Setup and History information. The information that was previously held within the Tax tab has been moved to a new Profile tab.
- Configure tax information: Use the Details tab to add or edit Federal, State, CA Federal, or Provincial taxes as needed
- Review tax history: Use the History tab to view historical tax deductions and filter by division as needed
- Track changes: Click the info icon (i) on the Talent Profile to view the audit log of all tax configuration changes
System Setting/User Permission Changes:
- Edit Talent Tax: Grants access to edit most tax fields (excludes Tax Exempt, Active, and IRS Lock-In)
- Edit for Tax Exempt: Required to modify the Tax Exempt checkbox
- Edit for Active: Required to modify the Active checkbox
- Edit for IRS Lock-In Letter: Required to modify the IRS Lock-In checkbox or edit any Federal Income Tax fields when IRS Lock-In is enabled
Important Notes:
- Users can only view and edit tax information for offices they have access to
- All changes made in BOLD Tax Setup sync bidirectionally with Back Office
- Tax Exempt status prevents both tax calculation AND taxable wage reporting (use special exemption values like Deductions = 999999 or Exemptions = 999 if you only want to exempt from withholding while still reporting wages)
- When IRS Lock-In is checked, the entire Federal Income Tax configuration becomes locked and only users with "Edit for IRS Lock-In Letter" permission can make changes
For customers without Back Office integration: This feature is not available. Tax management continues through your existing processes.

Gross Profit Calculator - Live

What is the improvement?
A new Gross Profit Calculator is now available directly in the BOLD Front Office Account & Settings menu. This standalone tool allows you to quickly calculate pay rates, bill rates, and profit margins in real-time without affecting live job data.
The calculator offers two flexible modes:
- Calculate Pay Mode - Enter bill rate and markup/GP%/GP$ to determine pay rate
- Calculate Bill Mode - Enter pay rate and markup/GP%/GP$ to determine bill rate
The tool automatically pulls your configured Federal Employer Taxes, Other Employer Taxes, SUTA rates (by state), Workers' Compensation codes, General Liability, and Extra Burden costs from Admin Tools to provide accurate total cost and profitability calculations.
Why?
Rate negotiations require quick, accurate calculations that account for all tax obligations and burden costs. Previously, calculating competitive rates while maintaining target profit margins required manual calculations or switching between multiple systems, slowing down client conversations and increasing the risk of pricing errors.
This calculator eliminates the guesswork by instantly showing you how different rate scenarios impact your bottom line, enabling faster decision-making during negotiations while ensuring profitability targets are met.

Spanish State W4 Forms
What is the improvement?
Following the release of Spanish Federal W4 forms, Symmetry Tasks now extends Spanish-language support to state W4 forms for seven states: Alabama, California, Illinois, Iowa, Minnesota, Oregon, and Wisconsin. Talent in these states can now complete their state tax withholding forms in Spanish. This enhancement is available in both Manual and Guided modes.
Why?
When onboarding Spanish-speaking talent in these seven states, language barriers can slow down the process and create confusion around important tax documents. Spanish state W4 forms remove this friction, helping your talent complete onboarding more confidently and accurately. This means faster placements, reduced back-and-forth clarifications, and a better experience for talent who prefer to work in their native language—particularly valuable during high-volume hiring periods when speed and accuracy matter most.
How does this impact you?
For talent in Alabama, California, Illinois, Iowa, Minnesota, Oregon, and Wisconsin, you can now enable Spanish state W4 forms directly in Symmetry Tasks configuration. In Manual Mode, add the Spanish state W4 form to your onboarding tasks just like any other document. In Guided Mode the talent simply selects Spanish as the option. North Carolina Short Form W4
What is the improvement?
Symmetry Tasks now includes the North Carolina Short Form W4 (NC-4 EZ) as an option alongside the existing NC Long Form. This simplified version offers a more streamlined tax withholding form for North Carolina talent who qualify to use it.
Why?
The NC Long Form can be complex and time-consuming for talent to complete, which can slow down your onboarding process. Many talent qualify to use the simpler Short Form, which reduces confusion and helps them complete onboarding faster. By offering both versions, you can choose the most appropriate form for each talent's situation, making the onboarding experience as smooth and user-friendly as possible.
How does this impact you?
You now have access to both the NC Long Form and NC Short Form in Symmetry Tasks configuration. Select the appropriate form based on your talent's withholding situation when setting up onboarding tasks. The Short Form is ideal for talent with straightforward tax situations, while the Long Form remains available for those with more complex withholding needs. Both forms integrate seamlessly with your back office systems.

QuickSearch | Search Talent and Contacts by Phone & Email - Live

What is the improvement?
QuickSearch in AviontéBOLD now supports searching for Talent and Contacts using phone numbers and email addresses. Previously, QuickSearch was limited to searching by name and ID. With this enhancement, you can now quickly locate records by entering a phone number or email address directly into the QuickSearch bar in the main navigation.
Why?
Recruiters and account managers often have a phone number or email address as their primary point of reference when trying to locate a candidate or contact—whether from a text message, business card, or voicemail. Being able to search by these identifiers eliminates the need to remember or look up a person's full name, streamlining your workflow and helping you respond to inquiries more quickly.
How does this impact you?
When you search in QuickSearch using a phone number or email address, the system will return matching Talent and Contact records that contain that information in the following fields:
Talent Records:
- Cell Phone
- Email Address 1
Contact Records:
- Work Phone
- Mobile Phone
- Email Address 1
Searching by Phone Number: Enter phone numbers using digits only, without dashes, parentheses, or spaces. For example, to find a record with the phone number "507-555-1234" on file, search for "5075551234" in QuickSearch.
Simply enter the phone number or email address in QuickSearch, and any matching records will appear in your results. You can then click on the record to view the full profile and confirm the match. This enhancement makes it easier to locate people in your database using the information you have on hand, reducing search time and improving your efficiency in managing relationships with talent and clients.

Custom Job Details Added to Datalink - Live

What is the improvement?
Custom Job Details will now be added to Datalink.
Why?
Previously, custom job details would not be visible within Datalink. We have updated it so all custom job details will now sync and be visible in a newly added view.
How does this impact you?
This data would not previously be included in Datalink when used. This will now include that data, giving you a more complete and correct overview of all job details in your system, custom or default.

What is the improvement?
Updated the INSIGHTS Data Dictionary available in the Knowledge Base to add 29 new tables and over 320 new columns.
Why?
Previous version of the Data Dictionary was out of date. It is now updated to accurately reflect INSIGHTS as it currently exists.
How does this impact you?
If you need to reference the Data Dictionary it will now have complete and correct information.
