Managing Direct Deposit Accounts

Early Adopter Note: This article describes the Direct Deposit experience for early adopter clients only. If your organization is not part of the Direct Deposit early adopter program, refer to the current Managing Direct Deposit Accounts article instead.

Avionté enables you to enter and manage multiple direct deposit accounts for Talent. Direct deposit is managed from its own dedicated Direct Deposit tab on the Talent record. This area can also be used to set up employee paycard(s), which can be funded through an ACH file or Instant Payment process.

If you would prefer not to set up direct deposit accounts manually, you can have talent enter their own account information using the Direct Deposit Onboarding Tasks.

Adding a Direct Deposit Account

New Direct Deposit accounts can be added to the Talent record under the Direct Deposit tab.

Note: Editing direct deposit information requires the Edit Talent Direct Deposit user permission (Modification Access category). When this permission is disabled for a user, all direct deposit fields display as read-only. At launch, this permission is automatically granted to any user who already has the Talent Profile Admin permission.

Add a new account

  1. Go to the Talent's record
  2. Click on the Direct Deposit tab.01M3SFY3215G4E1HF35P31T91N (1912×914)
  3. Click the New Account button.
    01M3SFVKGATAQ5S3FY9V1VDWGM (1912×914)
  4. A new section will appear with several options.
  5. Choose an Account Type from the drop-down list.
  6. Enter the Account Number in the Account Number field.
  7. Enter the bank account's Routing Number
    1. These numbers will be validated according to the US or Canada requirements, depending on the selection made in the Country field.
  8. Enter the bank institution name in the Bank Name field.
    1. Example: Wells Fargo, US Bank, …
  9. Select the country in which this bank operates in the Bank Country drop-down field.
  10. Choose the Amount Type from the drop-down list.

    1. If choosing a Fixed Amount or Percent, then enter a value in the new field
      1. Remaining Amount: All available funds will be deposited to this account after distributing funds to any accounts set to Fixed Amount or Percent.
      2. Percent: Distribute a percentage of each paycheck to this account. Any leftover funds will be paid to the talent's Remaining Amount account.
      3. Fixed Amount: Distribute a specific dollar amount from each paycheck to this account. If the check is less than the fixed amount set for the account, the system will deposit all the funds to this Fixed Amount account. Any leftover funds will be paid to the talent's Remaining Amount account.
Note: The first direct deposit account added for a talent must be set to Remaining Amount. Once that account is saved, any additional accounts added afterward can be set to Remaining Amount, Percent, or Fixed Amount.
  11. Click on the Save button, which validates the account information in real time. If validation fails (for example, an account number over 17 digits, incomplete required field, or invalid routing number), correct the flagged field(s) and save again.
Note: Routing Number and Account Number are fully masked, both when viewing and editing an account. If you have the Edit Talent Direct Deposit permission, click the eye icon next to a masked field to reveal the full number.
Note: All views and edits of the Direct Deposit tab, including any time a masked routing or account number is unmasked, are recorded in the audit log.

Example

For example, if an employee wants to distribute $200 of each paycheck to their checking account and have the remainder go to their savings, add the Savings account first as the Remaining Amount account, then add the Checking account with an Amount Type of Fixed Amount with an amount of $200.

  1. If the Amount Type was set to Percent or Fixed Amount, enter the dollar amount or percentage that should be distributed to this account in the Amount field.

Note: For a Percent account, enter the percent as a whole number. Example: For ten percent, enter 10
  2. Click on the Save icon
    1. The system displays the added account information if it passes validation (e.g. the routing number is associated with a real bank).
  3. To add another account, click the New Account button again.

Editing an account

To edit an existing direct deposit account, click the Edit button on that account.

Editing an account opens the same fields used when adding an account, and any of them can be updated, including the Account Type, Account Number, Routing Number, Bank Name, Bank Country, Amount Type, Amount, and Sequence. Click Save to apply your changes.

Prenote dates

Note: Each account record also includes Prenote Sent Date and Prenote Approve Date fields.

Changes to an existing bank account in the database will not modify the prenote send/approve dates. If you require a prenote on the bank account again, such as for a returning employee, there are two options:

  1. In AviontéBOLD (front office), click the Edit button on the existing account and update the Prenote Sent Date and Prenote Approve Date fields directly.
  2. In AvionteCLASSIC (back office), remove the Prenote Send/Approve Dates from the existing employee bank.

Activating and Inactivating Accounts

Direct deposit accounts in BOLD no longer support hard deletion. Instead, click the action menu (the ⋮ icon) on an account and select Archive to inactivate it. Archiving an account preserves its history and prenote information rather than removing the record entirely.

To reactivate an archived account, first find it by filtering the account list to Inactive status (see Filtering the Account List below). Then click the restore icon on the account and click Restore in the confirmation dialog that appears. Restoring an account returns it to Active status with its history and prenote information intact.

Filtering the Account List

You can filter the account list on the Direct Deposit tab by:

  • Active/Inactive status
  • Bank Name
  • Account Type

Filtering by Inactive status is the quickest way to find an archived account you want to restore.

Reordering Accounts

Note: Each account record includes a Sequence field showing its order in the distribution sequence.

To change the order in which funds are distributed across a talent's accounts, click the action menu (the ⋮ icon) on an account and select Edit. This puts the account's Seq badge into an editable state with up and down arrows next to it, along with Cancel and Save buttons. Use the arrows to move the account to its new position, then click Save to apply the change. The Remaining Amount account automatically moves to the last position in the sequence whenever accounts are added or reordered.

Viewing Direct Deposit History

The Direct Deposit tab includes a Bank History sub-section showing a paginated, read-only record of past direct deposit payments. Each entry includes:

  • Bank Name
  • Check Date
  • Check Number
  • ACH Date
  • Amount
  • Division

You can filter this history by an individual bank account, which is useful when troubleshooting a talent's split-deposit configuration.

Adding a rapid! Paycard

rapid! PayCard is a payroll solution where employers can transfer pay for employees directly to a debit card instead of providing a paycheck. With this integration, users can activate rapid! PayCards through AviontéBOLD. The ACH process is the traditional process of depositing money into an account and typically takes days. With Instant Payment the funds are deposited into an account in minutes.

  1. Go to the Direct Deposit tab.
  2. Click on the New Account button
  3. Enter information in the appropriate fields
    1. Account Type: Select the rapid! PayCard option
    2. Account Number: Enter the 3 digit prefix and 10 digit account ID
    3. Routing Number: This will default to the rapid! Paycard Marketplace settings
    4. Funding Type: This will default to the rapid! Paycard Marketplace settings. There are 2 options for this; ACH and Instant Payment (automatic load or manual load)
    5. Amount Type: Select between Remaining Amount, Fixed Amount, or Percent.
    6. Amount: This option is only available if the Amount Type = Fixed Amount or Percent.
      1. If Fixed Amount = enter a dollar amount
      2. If Percent = enter a percentage
    7. Click on the Register button

Managing rapid! PayCards

Once a paycard has been added as a Direct Deposit account a confirmation message will appear. From this confirmation, you can register the paycard.

If the card has not already been activated, users can activate the paycard from the Direct Deposit tab in the talent's record using the Register button. If the paycard is already activated, an error message will appear, indicating the paycard is already active.

Restrictions on Deleting rapid! Paycards

Talent cannot delete rapid! Paycards from their profiles, including through the Direct Deposit Onboarding task. This restriction keeps the payment system consistent and prevents issues such as multiple active cards for a single talent. The inability to delete a rapid! Paycard is tied to the Replace feature, which ensures only one active card per talent.

Replacing rapid! Paycards

When a replacement rapid! Paycard is needed, recruiters do not need to edit or re-enter the card details in Avionte — use the Replace feature instead. Replacement cards retain the same account number, so no edits are required in Avionte. Recruiters can manage replacements directly through the rapid! portal.

CHANGE Virtual Card Is Not an Automatic Fallback

CHANGE Virtual Card is one of the other card options available in the Account Type drop-down list, alongside rapid! PayCard, CHANGE NCB, CHANGE Black Card, and CHANGE Co Brand. It must be selected explicitly as its own Account Type the same way any other account is added above — it does not activate automatically if a talent's bank account information is missing, incomplete, or fails validation.

If a talent needs to be paid and doesn't have a valid direct deposit account on file, add a CHANGE Virtual Card account the same way a standard bank account is added: select CHANGE Virtual Card from the Account Type list, then enter the Amount Type and Amount as described in Adding a Direct Deposit Account above. There is no automatic failover from a bank account to a CHANGE Virtual Card account on Avionté's side.
