1. Accrual Plan Tab Update

Improvement: Moved the "Days Before First Use" field from the Accrual Plan > Locality sub-tab to the main Accrual Plan sub-tab.

Key Updates:

  • The field showing the days before first use, which was previously visible under the Accruals > Locality Configuration sub-tab within Supplier Administration in Back Office has been moved to the main Accrual Plan sub-tab.

How does this impact you?

  • Previously, you could not use the "Days Before First Use" field without first specifying a state. This will now function even if a state has not been specified. With the new location it is also quicker to access and modify.

1. Nebraska Sick Leave Law [Effective 10/01/2025]

Improvement: Avionte Classic now includes a pre-configured accrual plan for Nebraska's Healthy Families and Workplaces Act, which takes effect on October 1, 2025. This new state-mandated paid sick leave law requires most employers operating in Nebraska to provide paid sick time to their employees.

Key Updates:

A new accrual plan named Sick Leave_NE is now available in Classic and has been automatically added to the system for eligible clients. This plan is configured to comply with Nebraska's paid sick leave requirements for larger employers with 20 or more employees.

The accrual plan includes the following specifications:

  • Accrual rate: Employees earn 1 hour of paid sick time for every 30 hours worked
  • Annual usage limit: 56 hours per year (applies to employers with 20+ employees)
  • Carryover: Unlimited hours can be carried over from year to year
  • Immediate use: Employees can use accrued sick time as soon as it's earned
  • Gap period: 360 days between employment periods to maintain accrual balance

The leave can be used for personal illness, injury, preventive care, or to care for a family member with a health condition.

How does this impact you?

If you employ staff in Nebraska, this accrual plan has been automatically inserted into your system to help you comply with the new state law effective October 1, 2025. The plan is configured for employers with 20 or more employees, who must provide up to 56 hours of paid sick leave annually.

2. ADP Quarter 3 File Format Updates

Improvement: Avionte Classic has been updated to comply with ADP's latest file format specifications for Quarter 3 2025 reporting. These updates ensure accurate submission of quarterly payroll data and resolve validation errors that previously occurred when submitting ADP test files.

Key Updates:

Record X Interface Version Update The interface version has been updated to 090525 across all ADP file types:

  • Periodic files
  • Interim files
  • Quarterly files

This update affects positions 210-224 in Record X to align with ADP's current specification requirements.

Record E Enhancements for 1099 Employee Reporting The quarterly file Record E has been updated to improve 1099 employee data handling:

  • Recipient Name Line 1 - 1099 Reporting (Positions 421-452): Expanded to 32 alphanumeric characters to accommodate full employee names
  • Recipient Name Line 2 - 1099 Reporting (Positions 453-484): New 32-character alphanumeric field that automatically captures name overflow when the employee name exceeds 32 characters in Line 1
  • Carriage Control Line Feed: Updated to positions 485-486 for proper file formatting

These changes address validation errors related to missing or invalid hours/weeks worked data and improve the accuracy of 1099 employee record transmission.

How does this impact you?

If you submit quarterly payroll files to ADP, these updates resolve the "Hours or Weeks Worked Missing or Invalid" errors that affected Q1 and Q2 2025 submissions. The system now properly formats employee name data for 1099 reporting and meets ADP's current file specification requirements.

When you generate your Q3 2025 ADP quarterly file, the system will automatically apply these formatting updates. You should no longer encounter the validation errors that previously required manual corrections using the Taxes Summary AQ and Check Register AQ reports.
