Benefit Harbor: Setup and Use in AviontéBOLD

This feature is currently available to Early Adopters only and is not yet released for general use.

Note: This integration is available to clients using Integrated or Back Office only environments - Unavailable to BOLD only clients.

This article provides guidance on setting up and integrating Benefit Harbor (BH) within AviontéBOLD, covering the initial integration setup, enabling the integration in the Avionté Marketplace, and the process of sending Benefit Harbor onboarding tasks to talent.

Integration Setup

To enable and configure the integration, users must have the Marketplace Admin user permission enabled.

Users who open Benefit Harbor from the Marketplace without the Marketplace Admin permission will see the following message.

This is a one-time setup and usually doesn't require any changes afterward.

Note: Some mapping and setup may be required in Back Office/Classic.

Log in to your BOLD environment.

  1. Click Account & Settings.
  2. Click Avionté Marketplace.

  3. In the Search area, type: Benefit Harbor

  5. If you receive the following message, this integration is not available for setup until it's activated.
    1. Click the Have an Avionté Account Executive Contact Me button.

      Note: It is also recommended to contact your Account Manager via email or phone.

  6. Once the integration is enabled, you can configure the following options:
    • Configure Employee Class
    • Office Defaults

Configure Employee Class

Employee Class is a category used to group employees based on job-related criteria, such as hours worked, job title, or pay scale. This classification determines eligibility and level of benefits within Benefit Harbor. Common classes include full-time, part-time, temporary, and salaried versus hourly workers, which can affect benefits like health insurance, paid time off, and retirement plans. Please work with Benefit Harbor to define your Employee Classes.

Office Defaults

Office Defaults allow you to automatically assign an Employee Class to all talent within a selected office. When you set an office as default and map it to a specific Employee Class, any talent associated with that office who has been sent a Benefit Harbor task, will automatically be assigned the corresponding Employee Class for Benefit Harbor benefits eligibility.

Configuring Talent Onboarding Tasks

  1. Click the Account & Settings icon and select Utilities.

  2. Select Talent Onboarding Tasks. Options may be filtered by typing TASKS in the search box.

  3. Available tasks are shown in sections. Click the chevron at the right of the Integration Tasks section to expand or collapse the options.

  4. Click the switch to the right of the Benefit Harbor task to enable or disable it. Turning a task On makes it available for other users within your organization to include in workflows, while turning it Off ensures only the desired tasks are available when configuring workflows.

  5. Click on the Benefit Harbor task to access and configure due dates and instructions, which will become the default parameters when the task is added to a workflow.

  6. Click Save after entering the desired due date and instructions for the task.

Sending Benefit Harbor Tasks

  1. Click on the Talent tab.
  2. Search for the talent to whom you wish to send the onboarding task.

    1. All new talent will require a username to be set up.

      Note: This is due to changes that allow talent without an email address to be created.

    2. Click the Create & Send Email button.

    3. If the menu does not include the Onboarding tab, click the menu icon icon to the right of the menu.

    4. Click the Plus icon to the left of 'Onboarding'.
    5. Click the Done button.

    6. Click the Send Onboarding Tasks button.

    7. Click on the Integration Tasks section to expand the list.
    8. Click the checkbox for Benefit Harbor.
    9. Enter the Benefits Hire Date.

Note: An error message will appear if attempting to send a Benefit Harbor task without an Employee Class assigned to the talent.

Manually Update Employee Class

  1. Click the Benefit Partner Settings tab.
    1. Refer to steps c through e from the Sending Benefit Harbor Tasks section to make the 'Benefit Partner Settings' tab visible if it's hidden.
  2. Locate the Benefit Harbor configuration.
  3. Select the appropriate Employee Class for the talent.

Additional Notes:

Benefit Harbor tasks can be sent individually via the Talent profile, using Mass Actions, or sent using a workflow that contains the Benefit Harbor task (you must first add the task to a workflow).
