Deduction Category and Transaction Types
Refer to the setup resources above to create a Deduction Category called Benefits in a Card in your Back Office instance. Then create Transaction Types relevant to your BIC enrollment plans, selecting Benefits in a Card as the Deduction Category for each one.
When creating BIC Transaction Types, enter the system name exactly as it appears in BIC — no spaces. Work with your BIC representative to confirm the exact plan names before setup.
For example:
Transaction Type Group
Create a new Transaction Type Group by navigating to Actions > Admin Tools > Transaction Type > Groups. Name the group exactly BIC Talent Benefits.
Search for the BIC Transaction Types created in the previous step and add them to the group using the Assign icon. Make sure all plans are included in the group before continuing.
Supplier Grid and Deduction Authority
Once your plans are assigned to the group, a Supplier grid becomes available within the Transaction Type Group. Use this grid to assign a Deduction Authority agency to each supplier. The Agency column displays Deduction Authority agency types only.
Once configured, new benefit deductions created through the partner integration will automatically include the selected agency — no manual entry required. This applies to new deductions only; existing deductions are not updated automatically. If existing deductions need correction, contact Avionté Support.
Payroll Processing
By default, employee deductions set up through the BIC integration are flagged during payroll processing. This gives users an opportunity to review automatically created deductions and make changes if necessary before posting payroll. Once reviewed, users can remove the flag if no further changes are needed.
Supplier Assignment for BIC Deductions
When a BIC deduction or enrollment is created or updated without a SupplierGUID, the system automatically resolves the supplier using the following logic:
- If the talent has an active assignment, the supplier associated with that assignment is used.
- If there is no active assignment, the talent's home office supplier is used as a fallback.
Flagging Configuration
A configuration option (FlagPartnerBenefitEnrollmentDeductionAndContribution) controls the automatic flagging behavior. When set to False, BIC deductions will not be flagged during payroll processing, eliminating the need for manual unflagging and streamlining your payroll workflow. The default setting is True, which preserves the automatic flagging behavior.
To modify this setting:
- Navigate to Back Office configuration settings.
- Locate the FlagPartnerBenefitEnrollmentDeductionAndContribution option.
- Set to True to automatically flag BIC deductions during payroll (default).
- Set to False to prevent automatic flagging.
Posting Payroll
Once payroll is processed, BIC deductions are withheld for the employee based on the setup. When you post the payroll, deduction information is automatically sent to BIC for further processing.
Monitoring with DRMs
Even when supplier resolution runs correctly at enrollment time, a talent's pay supplier can change after the fact (for example, following a reassignment). If the deduction supplier and pay supplier no longer match, a Deduction Mismatch DRM will fire in DRMs Payroll. Treat this as a prompt to manually review and correct the deduction supplier as needed.
