Live 7/30 Improved CSV Export for Special Characters in Back Office Reports+

Overview

CSV exports from Back Office Reports now correctly handle special characters in field values without breaking the CSV structure. Fields are treated as text before delimiting, ensuring data integrity across all exported records.

System Setting / Permission Update

No action required. This improvement is available automatically to all users for all Back Office Report CSV exports.

Why We Built It

CSV exports would break the report structure whenever field values contained special characters, making it impossible to reliably export large datasets. Users running large reports -- such as a full year of compensation data -- could see the export structure break mid-file, requiring manual repair or switching to Excel export, which has data volume limitations.

What to Expect

When you export a Back Office Report to CSV, special characters in field values are now preserved and properly quoted without breaking the export structure. You can confidently export large datasets without encountering structural errors, and the file will open cleanly in spreadsheet applications.

Live 7/30 Ohio State Income Tax Rate Update+

Overview

Ohio state income tax rates have decreased effective August 1, 2026. Avionté has applied updated withholding rates to Classic payroll to ensure accurate tax calculation for all pay periods (weekly, biweekly, semi-monthly, and monthly). The lowest bracket rate decreases from 1.775% to 1.600%, the highest bracket decreases from 3.640% to 3.400%, and the middle bracket remains at 2.990%.

System Setting / Permission Update

None.

Why We Built It

Ohio tax rates changed on August 1, 2026, but the standard tax table provider will not update their rates until their next scheduled release. To prevent payroll processing delays and ensure employees receive correct withholding amounts, Avionté applied the updated rates immediately.

What to Expect

Payrolls processed with a check date on or after August 1, 2026 for Ohio employees will automatically calculate state income tax withholding using the new rates. No action is required from your team. Tax calculations will return to the standard provider rates once their August release is deployed.

Live 7/30 S Corp Benefit Transaction Type+

Overview

A new S Corp 2% Shareholder Insurance Premiums pay code applies the correct Social Security, Medicare, Federal, and State tax treatment to benefits paid to S Corporation shareholder-employees, and reports the amount in Box 14 of the W-2 under the label SCORP.

System Setting / Permission Update

None.

Why We Built It

Applying correct tax treatment to S Corp shareholder benefits previously required a manual adjustment to the employee's W-2 outside of standard payroll processing. This pay code applies the correct treatment automatically during payroll.

What to Expect

Add a transaction type using the new S Corp 2% Shareholder Insurance Premiums Vertex Pay Code.
Amounts on this transaction type are exempt from Social Security and Medicare tax, and taxable for Federal and State wages.
These amounts report in Box 14 of the W-2 under the label SCORP.
A corresponding deduction is added automatically when this amount is added to a paycheck at year end, so the premium amount does not increase the employee's net pay.
Live 7/30 Multiple Pay Periods on a Single Paycheck+

Overview

When a payroll batch includes transactions from more than one week worked for the same talent, such as retro pay for missed hours combined with the current week's pay, Back Office and Classic can calculate each week's taxes separately and combine the results onto a single paycheck.

System Setting / Permission Update

Set the Config Option Supplier | EmployerSettings | ProcessTaxesByWeekWorked to True to turn this on. It defaults to False, which keeps current behavior.

Why We Built It

Combining multiple weeks worked into one paycheck previously caused taxes to calculate at a bi-weekly, semi-monthly, or monthly rate instead of the talent's normal weekly pay cycle. For example, a talent paid weekly who receives missed hours from a prior week alongside the current week's pay on one check would have that combined amount taxed as if it were a single bi-weekly payment, under-withholding Federal and State tax and requiring the check to be reversed and reprocessed to correct.

What to Expect

Enable the ProcessTaxesByWeekWorked Config Option to turn this on for your account.
Once enabled, when a paycheck includes multiple weeks worked for the same talent, each week's taxes calculate separately using the talent's normal pay cycle.
The separately calculated amounts combine onto one paycheck, so retro pay and catch-up checks no longer need their own payroll batch.

Live 7/30 TTOC Code Assignment for W-2 Reporting+

Overview

Classic administrators assign a Treasury Tipped Occupation Code (TTOC) to job positions in Skill Codes, based on the position's Standard Occupation Classification (SOC) code. When a SOC code maps to exactly one TTOC code, the field auto-populates; when multiple TTOC codes apply, administrators select the correct one from a dropdown. For integrated customers, the TTOC field is read-only.

System Setting / Permission Update

None.

Why We Built It

The federal One Big Beautiful Bill Act (OBBBA) "No Tax on Tips" provision requires employers to report a Treasury Tipped Occupation Code on 2026 W-2s (Box 14b) for tip-eligible employees. Assigning TTOC codes at the job position level lets the correct tip-occupation data flow to Back Office automatically, instead of a manual, time-intensive effort to gather it at year end.

What to Expect

A new TTOC field appears next to the SOC Code field in Admin Tools > System > Skill Codes.
For Classic customers, the dropdown lists all TTOC codes valid for the job's SOC code; if only one TTOC maps to that SOC, the field auto-populates.
For integrated customers, the TTOC field displays as read-only.
TTOC assignment is coming to Avionté BOLD in a separate release. Watch the BOLD Release Notes for that rollout.
The assigned TTOC code flows to Back Office automatically, populating W-2 Box 14b at year-end generation with no additional manual entry.
Year-end W-2 processing will be updated separately to reflect TTOC/Box 14b reporting. Watch for additional year-end release notes.

Live 7/17 Employee SSN Validation for W-2 Generation+

Overview

Back Office and Classic validate that employees with recorded wages have a Social Security Number (SSN) on file before W-2 forms are generated through Greenshades. Previously, employees missing an SSN were silently excluded from the Greenshades W-2 output, creating a compliance gap that was difficult to identify. This update ensures those employees are flagged so their records can be corrected and their W-2s issued.

System Setting / Permission Update

None. This validation applies automatically to all customers.

Why We Built It

Employees without an SSN were not appearing on any W-2 reports, even when they had wages on record. Because there was no alert or flag, this issue was easy to miss until it was too late to correct before IRS deadlines. This validation closes that gap and helps ensure complete, accurate federal tax reporting.

What to Expect

Employees with wages but no SSN on file are excluded from that W-2 output and flagged in an Error Generating Feed pop-up, while all other employees generate normally.
Clicking Yes on the pop-up and opening the Error tab lists every affected employee at once, instead of checking records individually.
Adding the missing SSN in Back Office and re-running generation via Weekly Process > Actions > Generate Green Shade includes the employee in the next W-2 output.
No workflow changes are required; the validation runs automatically as part of the existing W-2 process.
Live 7/17 Memo Field on Invoices and Payments+

Overview

A Memo field is now available when creating any invoice in Back Office, including credit memos. The Credit Memo Reason field has been renamed to Memo on new invoices and in the post payment wizard when applying a credit memo in an AR batch. The Memo field appears in the Customer Invoices table and in Invoices search results, giving collectors visibility into why a transaction was placed on account.

System Setting / Permission Update

No system setting changes required. The Memo field is available to all users automatically.

Why We Built It

Collectors need clear context for why transactions are placed on account. Without a dedicated memo field, staff had no standardized way to document reasons, making it difficult to understand transaction history during reconciliation or customer inquiries. The Memo field creates a consistent, visible record directly on the transaction.

What to Expect

A Memo field is available when creating any invoice in Back Office, regardless of invoice type.
The Memo column appears in both the Customer Invoices table and Invoices search results, so collectors can see context at a glance.
The Credit Memo Reason field has been renamed to Memo on new invoices and in the post payment wizard, where it displays in the middle grid when applying a credit memo in an AR batch.
Live 7/16 Generate Positive Pay File | Bank Dropdown Filter+

Overview

The PaymentBankID dropdown in the Generate Positive Pay file process now only displays banks that have the Generate Pos Pay checkbox enabled in bank configuration. Banks that are not set up for Positive Pay no longer appear in the list.

System Setting / Permission Update

None. To control which banks appear in the dropdown, enable or disable the Generate Pos Pay checkbox on the Bank tab in Supplier Administration.

Why We Built It

The dropdown previously showed every bank regardless of Positive Pay eligibility, forcing users to sort through unrelated banks every week to find the right one — and creating the risk of accidentally selecting the wrong bank.

What to Expect

When running the Generate Positive Pay file from Weekly Process, the PaymentBankID dropdown will only show banks configured for Positive Pay. No workflow changes are required — the list is simply shorter and more accurate.

Live 7/10 Payroll State Withholding Exemption Year Validation+

Overview

The system now validates the year associated with state and federal withholding tax exemption documents when determining whether to display a Data Requirement Message (DRM) during payroll processing. The DRM for exempt employees now only triggers when the tax document date completed is from a previous year, indicating the W-4 may be outdated and requires renewal.

System Setting / Permission Update: None. This update applies automatically to all users processing payroll in Back Office and Classic.

Why We Built It

Previously, the exemption DRM did not account for the document year, which could result in unnecessary alerts for employees with current-year tax documents or missed alerts for those with outdated forms. This update ensures payroll users receive accurate, actionable notifications only when a W-4 renewal is actually needed.

What to Expect

When processing time entry for an employee with maximum exemptions on state or federal withholding taxes, the system now evaluates the date completed on the associated tax document:

  • If the date completed is from a previous year, you receive a DRM indicating the W-4 is outdated.
  • If the date completed is from the current year, no DRM appears.
  • If the date completed is blank, no DRM appears.

When the DRM fires, the message displayed reads:

"[Employee Name] has max exemptions from a previous year on one or more taxes."
Live 7/10 West Virginia SUI Filing in Greenshades+

Overview

The Greenshades XML feed for West Virginia SUI filings now includes two required fields: Occupation (mapped from Job Title) and WorksiteID (mapped from employee worksite county code). These additions ensure the feed contains all mandatory information needed for quarterly state unemployment insurance filings without requiring manual intervention in Greenshades or on the state website.

System Setting / Permission Update

None.

Why We Built It

West Virginia requires occupation and worksite information for SUI filings. Previously, missing fields in the Greenshades feed forced back office staff to manually complete this data using the Advanced Editor or directly on the state website, adding extra steps to an already complex quarterly compliance process.

What to Expect

When you export your West Virginia SUI filing data to Greenshades, the XML feed now automatically includes employee occupation and worksite county code information. No configuration or extra steps are needed. Your quarterly filings are now complete and ready to submit without manual data entry in Greenshades.

Live 7/10 Sick Leave Accrual Start Date Reset for Returning Employees+

Overview

Running the purge utility for an employee now clears their sick leave accrual start date, so when that employee is later rehired, the accrual plan starts fresh from the new hire date. Avionté also provides a data validation alert if an active accrual plan exists without a start date assigned.

System Setting / Permission Update

None.

Why We Built It

Previously, running the purge utility did not clear the accrual start date, meaning returning employees could carry over an outdated start date and accrue leave they were not yet entitled to. This update ensures the purge utility properly resets the start date, and that the system flags any active plans missing one.

What to Expect

Running the purge utility for an employee with an active sick leave accrual plan clears the accrual start date as part of the purge process. If that employee is later rehired and re-entered into the system, a new accrual start date is assigned from the rehire date, resetting the accrual cycle from scratch. Additionally, Avionté flags any active accrual plans missing a start date, helping you catch configuration issues before they impact leave calculations.

Live 7/10 Greenshades Indiana SUTA File Zip Code Validation+

Overview

The Greenshades Indiana SUTA feed generation now validates that a zip code is present for each employee work location. If any zip code is missing, an error alert fires during Greenshades feed generation so you can correct the data before submission.

System Setting / Permission Update

None required -- this validation is automatically enabled for all users.

Why We Built It

Missing zip codes in work location setup can cause the Greenshades Indiana SUTA file to be non-compliant, potentially resulting in issues with the Indiana Department of Labor. Catching the gap at Greenshades generation time saves correction effort and reduces filing risk.

What to Expect

When generating the Greenshades feed in Avionte, the system checks all work location records for a zip code. If any are missing, an error message identifies the affected worksite. Add the missing zip code in your tax setup and regenerate the Greenshades feed to proceed.

Live 7/9 City and State Sales Tax Calculation on Invoices+

Overview

A new sales tax processing method, dbo.bil_ProcessSalesTax_StateCity_All, combines state, county, and city tax rates into a single rate when all three match the worksite address. This gives multi-tier jurisdictions, such as New Mexico, an accurate combined rate on invoices.

System Setting / Permission Update

None.

Why We Built It

In some jurisdictions, sales tax applies at the state, county, and city level at the same time. The existing city/county/state hierarchy method applies only one matching tax layer at a time, which can undercharge tax where multiple levels apply together. The new combined method ensures the full, correct tax amount is calculated when a worksite address matches more than one jurisdiction level.

What to Expect

When a worksite address matches state, county, and city tax rates, the new dbo.bil_ProcessSalesTax_StateCity_All calculation method combines them into a single combined rate applied to the invoice.

Live 7/2 Newfoundland Basic Personal Amount Update+

Overview

Effective July 1, 2026, the basic personal amount (BPA) for Newfoundland and Labrador is updated in Back Office and Classic to comply with CRA T4127 Payroll Deductions Formulas (July 2026). This update applies differently depending on the tax record:

Existing tax records showing $11,188 -- updated to $15,000 for payroll calculation purposes. The CRA has approved a pro-rated BPA of $15,000 for the period July 1-December 31, 2026.
New tax records created on or after July 1, 2026 -- created with $13,094, the base BPA amount on the Newfoundland provincial tax form.

System Setting / Permission Update

None. This update applies automatically to all accounts processing Newfoundland payroll.

Why We Built It

Provincial tax exemption amounts are updated periodically by the Canada Revenue Agency. This change ensures your payroll calculations remain accurate and compliant without requiring manual adjustments.

What to Expect

Starting July 1, 2026, the system automatically applies these updates: existing NL tax records with $11,188 are recalculated using $15,000 (the CRA pro-rated BPA for 7/1/26-12/31/26); new NL tax records are created with $13,094 (the amount on the provincial tax form). No action is required. Employees with custom exemption amounts on file retain their existing values.
