1. Vertex decommissioned Geocodes removal in Classic 

Improvement:  Avionte Classic has removed the decommissioned Vertex Geocodes from the existing customer base.

Why? Our third-party service removes outdated geocodes. This helps our customers by clearing these outdated geocodes from addresses. Users will be alerted if they try to use addresses with invalid geocodes, allowing them to choose the correct geocode for that specific address.

How does this impact you? When processing a transaction, a notification will occur by the Data Requirement Message [DRM] of a missing geocode for an Order or Employee, allowing the user the opportunity to update the employee or order with the accurate geocode for that address.

  • The following GEO codes have been decommissioned:

2. Paid Leave | Chicago [Effective 1/1/2024]

Improvement:  Avionte Classic's has now added a new Chicago Paid Leave to be effective 01/01/2024.

Why? Effective Jan. 1, 2024, the City of Chicago requires employers to provide paid leave to employees who work in the state.

How does this impact you?

  • The new accrual plan, Chicago Paid Leave is now available to be configured for an Employer under Admin Tool > Employer > Accrual Plan

  • New or Update existing? = New

    • Accrual Plan = Sick Leave_ Chicago Paid Leave
    • City/County = Chicago
    • State = IL
    • Effective Date = 1/1/2024
    • Hours to accrue 1 hour = 35
    • Gap Days = N/A
    • Days Before Use = 90

  • Logic required with other sick leaves? 
    Sick Leave Chicago IL and Paid Leave Chicago cannot be activated if either IL Paid Leave or Sick Leave Cook IL are active.

3. Canadian Employer Health Tax Updates [Effective 1/1/2023] for Newfoundland Health and Post Secondary Education Tax to default exemption of 2 million

Improvement: Classic Avionte has updated the Newfoundland Health and Post Secondary Education Tax 

Why? 

  • Effective 1 January 2023, the exemption threshold for Newfoundland Health and Post Secondary Education Tax increased from $1.3 million to $2 million.

How does this impact you?

When configuring the Newfoundland Health and Post Secondary Education Tax under Admin Tools > Employer > Tax for 2024, the system will use the following defaults unless the user configures an override:

  • NL HAPSET ER Default exemption: $2,000,000
  • NL HAPSET ER Default rate: 2%

4. Montana filing status [Effective 1/1/2024]

Improvement:  Classic Avionte Employee > Payroll > Tax > Tax Set Up has been updated to accommodate the new Montana Filing Status, effective 1/1/2024.

Why? Montana's Department of Revenue has updated the new 2024 MW-4 with the same pre-2020 federal filing statuses.

How does this impact you?
Under Employee > Payroll > Tax > Tax Set Up the following filing statuses will now be available to select:

  • Single or married filing separately
  • Married filing jointly or qualifying widower
  • Head of Household
  • Single
  • Married.
  • Married filing jointly two spouses working

If no filing status is specified, the status of Single or married filing separately will be used.

Release Date: 12/20/2023

1. Alabama Overtime Exemption [Effective 1/1/2024]

Improvement:  Classic Avionte updated the logic to accommodate the new Alabama Overtime Pay Exemption implemented by the Alabama Department of Revenue effective 1/1/2024.

Why? Overtime earnings that qualify for Alabama withholdings, between January 1, 2024 through June 30, 2025, will be excluded from gross income and therefore exempt from Alabama state income tax.

How does this impact you?

  • Any earnings that are Alabama Withholding qualified and are entered through Avionte's Standard OT and DT transaction types will be considered qualified for the Alabama Overtime Pay Exemption [ONLY these two standard transaction types qualify].

  • It is the Employers responsibility to ensure that employees who qualify for Alabama Withholdings must have the appropriate OT Plan configured for that employee to ensure that the system determining OT/DT adheres to the 40-hour minimum qualification.

  • It is the Employers responsibility to ensure that any manual entry to the Standard OT and DT transaction types, the employee has met the 40-hour minimum qualification, otherwise the employer should apply the Overtime and Doubletime amounts to a non-standard transaction types to have the earnings NOT fall under the Alabama Overtime Pay Exemption.

2. Canadian Default Claim Code Exemptions [Effective 1/1/2024]

Improvement:  Classic Avionte has updated the Default Claim Codes for Canada based the Canada Revenue Agency update for 2024.

Why? The new year default claim codes are required to be updated year over year.


How does this impact you? 

After the first check date in 2024 is processed, those Canadian employees who have Employee > Payroll > Tax > Tax Set Up > Use Default Exemption Amount checked for the Federal and/or Provincial Withholding tax record, will automatically be updated to the 2024 exemption amount.
2024 Updated exemption amounts are as follows:

  • Federal: 15705
  • Alberta: 21885
  • British Columbia: 12580

3. Canadian Default Claim Code for QC Exemptions [Effective 1/1/2024]

Improvement:  Classic Avionte has updated the Default Claim Codes for Quebec based the Canada Revenu Quebec update for 2024.


Why? The new year default claim code is required to be updated year over year.

How does this impact you?  After the first check date in 2024 is processed, those Quebec employees who have Employee > Payroll > Tax > Tax Set Up > Use Default Exemption Amount checked for Quebec PWT tax record, will automatically be updated to the 2024 exemption amount of 18056.


4. Canadian Dental Benefits Eligibility Supplier/Branch/Employee

Improvement: Avionte Classic has added logic for users to input the Employer offered dental benefit eligibility code for yearend tax form purposes.


Why? Canada Revenue agency has implemented the requirement, in 2023, to indicate if the employer has provided access to any dental care insurance or coverage of dental services of any kind to the employee with the following codes.
  1. No dental insurance or coverage of any kind 
  2. Payee
  3. Payee, spouse and dependent children
  4. Payee and their spouse
  5. Payee and their dependent children
How does this impact you?

The user now has the ability to set the Employer Dental Eligibility code at:
 
Supplier Configuration - Admin Tools > Employer > Detail > Supplier Properties which filters down to all associated Branches/Employees
  • The user needs to configure the Property identifying the {Form Type}DentalBenefitCode{Year}, and the Employer Dental eligibility code of 1, 2, 3, 4 or 5 under the Value.



Branch Configuration Admin Tools > Employer > Branch > Branch Properties which will override the supplier level setting, which filters down to associated Employees
  • The user needs to configure the Property identifying the {Form Type}DentalBenefitCode{Year}, and the Employer Dental eligibility code of 1, 2, 3, 4 or 5 under the Value.


Employee Configuration - Employee > Extra
 which 
will override the Branch setting.
  • The user is required to create a new Config Choice
    • User needs to configure the Admin Tools > Config Choice > Employee Extra Choice code where System Name is {AccountNumber}{FormType}DentalBenefitCode{Year}. Example: 123123123RP1234T4DentalBenefitCode2023

    • The user can opt to create a Mask Type to ensure only a singular numeric digit is used by creating a Mask Type under Admin Tools > Config Edit Mask Type and on the Config Choice using ValueType=Mask and ConfigEditMastTypeID=to the applicable Mask Type ID. 

  • Create an Employee Extra entry
    • Under Employee > Extra > configure the required DentalBenefitCode with the appropriate singular numeric Dental eligibility code of 1, 2, 3, 4 or 5.

5. Canadian Employer Health Tax Updates [Effective 1/1/2024]

Improvement:  Classic Avionte has updated the Manitoba Health and Post Secondary Tax Levy default exemption amount for 01/01/2024. British Columbia, and Ontario Default exemptions and rates remain the same as 2023.

Why? 

  • Effective 1 January 2024, the exemption threshold for the Manitoba Health and Post-Secondary Education Tax Levy is increased from $2 million to $2.25 million of annual remuneration.

 

How does this impact you?

When configuring the Manitoba Health and Post-Secondary Education Tax Levy under Admin Tools > Employer > Tax for 2024, the system will use the following defaults unless the user configures an override:

  • MB HELEVY ER Default exemption: â€‹**$2,250,000 [updated 2024]**
  • MB HELEVY ER Default rate: 4.3% [same as 2023]

When configuring the British Columbia Employer Health tax under Admin Tools > Employer > Tax for 2024, the system will use the following defaults unless the user configures an override:

  • BC EHT ER Default exemption: $500,000
  • BC EHT ER Default rate: 2.925%

When configuring the Ontario Employer Health tax under Admin Tools > Employer > Tax for 2024, the system will use the following defaults unless the user configures an override:

  • ON EHT ER Default exemption: $1,000,000
  • ON EHT ER Default rate: 1.95%

When configuring the Newfoundland Health and Post Secondary Education Tax under Admin Tools > Employer > Tax for 2024, the system will use the following defaults unless the user configures an override:

  • NL HAPSET ER Default exemption: $1,300,000
  • NL HAPSET ER Default rate: 2%

6. South Carolina [SC] – Standard Occupational Code Support [Effective 1/1/2024]

Improvement:  Classic Avionte has updated the Standard Occupational Code [SOC] logic to now include the state of South Carolina effective 1/1/2024. 

Why? South Carolina will require Standard Occupational Code support for the purposes of reporting starting quarter 1 of 2024.

How does this impact you? 
  • All Skill codes will require an associated SOC code for South Carolina employees. Skill Codes are configured under System > Skill Code > SOC LookUp.

  • When generating quarterly data in Green Shades under Weekly Process > Generate Green Shade, if there is payroll data in SC, the user will receive a notification when there is a missing SOC code.

7. Ability to flag the Required parameters for the Import/Export

Improvement:  Avionte Classic's has improved the Import Export Batch screen with the ability to flag required parameters. 

Why? Prior to this improvement, the user could not define the required parameters for the Import Export Batch
How does this impact you?  
  • Under Admin Tools > Report > Advance Query > Advance Query Details a new column IsRequired checkbox has been added and will be utilized to identify those parameters that are required for Export/Import.

  • Once the required parameters are identified, when opening the export under Import Export > Import Export Batch Wizard > Parameter table will now display a Required column that identifies the required parameters.

  • The user will experience the following notification if a required parameter is missing and detail the missing required parameter: "There are required parameters missing a value. Accounting Period"

  • All existing Advanced Queries will have no checked Required parameters. The User must review their existing Advanced Queries and if they would like to make specific parameters required, they do this by checking the "IsRequired" box.

8. Ability to flag the Required parameters for the Weekly Process Export

Improvement:  Avionte Classic's has improved the Weekly Proces > Export Import logic with the ability to flag required parameters. 

Why? Prior to this improvement, the user could not define the required parameters under for the Export process.
How does this impact you?  
  • Under Admin Tools > Report > Advance Query > Advance Query Details a new column "IsRequired" checkbox has been added and will be utilized to identify those parameters that are required for Export/Import.

9. Update to Existing New Mexico Sick Leave Plan

Improvement:  Avionte Classic's has updated the New Mexico sick leave plan effective 01/01/2024.

Why? The New Mexico plan was inaccurately configured for the Allowed Carryover, Max Accrual Balance and Yearly limit values.
How does this impact you?  The Allowed Carryover, Max Accrual Balance and Yearly limit have been updated to a value of zero.
  • Pay Period Limit = 0 [0=Unlimited]
  • Max Accrual Balance = 0
  • Yearly limit = 0
  • Allowed Carryover hours = 0

Improvement:

Canada Revenue Agency [CRA] has implemented the Year's Additional Maximum Pensionable Earnings [YAMPE], resulting in a second additional Canada Pension Plan Contribution [CPP2].
 
Why?
 
Canada Revenue Agency [CRA] will be implementing an update to their CPP enhancement rollout. Effective January 1, 2024, a higher second earnings ceiling of $73,200, known as the Year’s Additional Maximum Pensionable Earnings [YAMPE], will be implemented and used to determine second additional CPP contributions [CPP2]. For more information refer to the following CRA links:

2024 Contribution rate for first earnings ceiling 2024 YMPE (first earnings ceiling) 2024 Maximum yearly CPP contribution 2024 Contribution rate for second earnings ceiling 2024 YAMPE (second earning ceiling) 2024 Maximum yearly Second CPP contribution

  • In 2024, employee's pensionable earnings between $68,500 and $73,200 are subject to CPP2 contributions at 4% [Employers are responsible for the 4% match].
  • Payroll > Checks > Tax Info will display CPP and CPP2 values separately. [Pay History > Check > Tax Info]
  • The pay statement will continue to reflect CPP contributions as a singular statutory deduction but will reflect the values of CPP and/or CPP2 [if both are present it will be combined and reflected as one contribution.]

1. [ACA] Update Schema for 2023

Improvement: Avionte Classic's has updated ACA Companion logic to allow for 2023 1095-C and 1094-C generation.
Why? Prior to this improvement the user could not generate 2023 1095-C and 1094-C forms.

 

2. Classic | Ability to Mass Notify employees when Year-end forms are available

Improvement: Avionte Classic's now has the logic for a user to notify employees in mass when the yearend tax forms are available.
Why? Prior to this improvement each employee would need to be sent a manual notification that their yearend tax forms were available.
How does this impact you?
User will now have the ability to notify employees, in mass, when their yearend forms have been processed and are now available for them for both the US and Canada. 
  • The employee must have check payments in the year.
  • The employee must have a valid email address.
  • The yearend forms must have been generated in the system.
For US W2's:
  • In Weekly Process > Actions > Generate Green Shades > Details > Email W2 Employees button is now available. 
  • Note: that the button is inactive until the user has completed the Flag as Complete process.

For Canadian T4's and T4A's:
  • In Weekly Process > Actions > Generate T4/T4A > Generate > Email T4 Employees and Email T4A Employees button are now available. 
  • Note: that the button is inactive until the user has configured Admin Tools > Employer > Detail > Supplier Property > EmployeePortal_MaxT4YearToDisplay = to the Year.

For the US or Canada, when utilizing the this feature the user will get the following Send Mail Options:
  • The traditional Use Send Mail Dialog
  • Use Mass Mail Wizard [the recommended option]

New Mass Mail: The User would name a Favorite Group, on the Next page, the user can see all of the employees to be included in the mass mail. Click Finish to create the favorites group.
Template Tab: The template screen is pre-populated with a system defined YearEndFormNotification Template that populates a standard email content of:

Your yearend forms have been processed and are now available.

The user has the option to edit this generic message.
Preview Tab: Allows the user to review the email before it is put in the queue to be send with mass email job.
Send: Allows the user select some or all employees to be sent the notification and then click finish to have the emails added to the queue to be sent when the mass email job runs.

Note: If the user has already run the Email Employee feature, the user will be given a notification that indicates it had been done previously.

3. PSD | Default Tax Button not Returning the Work Tax Jurisdiction prior to payroll processing

Improvement:  Avionte Classic Employee > Payroll > Tax has been improved to return the Non-Resident [worksite] tax jurisdiction record prior to processing the employee in payroll.
Why? Prior to this improvement, in some situations, when a user selected Create Default Taxes for a US employee prior to the employee being processed through payroll, the Non-Resident [worksite] tax jurisdiction record would not create.
How does this impact you? When a user selects Create Default Taxes for a US employee prior to the employee being processed through payroll, the Non-Resident [worksite] tax jurisdiction record will be created.

 

4. PSD | Clean-Up/Remove Non-Required / Extra Tax Jurisdiction Records

Improvement:  Avionte Classic Employee > Payroll > Tax has been improved to return the Non-Resident [worksite] tax jurisdiction record prior to processing the employee in payroll.
Why? Prior to this improvement, in some situations, when a user selected Create Default Taxes for a US employee prior to the employee being processed through payroll, the Non-Resident [worksite] tax jurisdiction record would not create.
How does this impact you? When a user selects Create Default Taxes for a US employee prior to the employee being processed through payroll, the Non-Resident [worksite] tax jurisdiction record will be created.
