Billing Preferences Enhancements - Live

What is the improvement?
AviontéBOLD now includes comprehensive billing preferences improvements that streamline company and office billing setup. Configure default email addresses and billing settings once in Table Editor (Table Editor > Company > Billing Preference Defaults), and those values automatically populate when creating new companies and offices. Existing companies and offices without billing preferences set-up will also automatically populate. Additional enhancements to the company-level Billing Preferences screen include a quick-copy button to transfer email recipients between fields and contextual help for understanding billing cycle options.

Why?
Previously, administrators manually entered the same billing email addresses for every new company and office, creating repetitive work and increasing the risk of inconsistent billing configurations. When managing multiple companies, re-entering identical information consumes valuable administrative time. These enhancements let you configure billing preferences once at the system level, then automatically apply those defaults to new and existing unconfigured companies while preserving flexibility for company-specific customizations.
The copy button eliminates duplicate data entry when the same recipients need both invoices and statements. The billing cycle help text surfaces current cycle data directly in context, removing guesswork and reducing the risk of misconfiguration when setting up billing periods and cycles for your companies.
How does this impact you?
Configure system defaults: Navigate to Table Editor > Company > Billing Preference Defaults to set default email addresses for invoices and statements, along with default billing period and billing cycle preferences. The system validates email formatting before saving, and Billing Cycle options filter based on your selected Billing Period.
Automatic population for companies and offices: For any company or office that has not yet had billing preferences configured, your system defaults automatically populate the billing preferences fields. This applies whether the record was just created or has existed without a billing setup. Once a company has gone through billing setup, its screen reflects only that company's specific settings, even if some fields were left blank. You retain full flexibility to customize settings for each company as needed.
Quick-copy between email fields: On the company Billing Preferences screen, click the "Copy recipients from Email Invoices To" button next to the Email Statements To field to instantly transfer email addresses. The system copies only addresses that don't already exist in the destination field, preventing duplicates while preserving existing recipients. The button is active when "Automatically Email Statement Letters" is enabled.
Billing cycle guidance: Click the help icon next to the Billing Cycle field on the company Billing Preferences screen to view current cycle details for the active date, including the current AP date, monthly cycle value, and biweekly cycle value. Use this information as a reference when setting the billing period and billing cycle for your companies.

DataLink | New Data Elements - Live | Off Cycle

Talent Home Office Worksite Option for Symmetry Guided Tax Forms - Live

What is the improvement?
You can now send Symmetry Guided tax forms using a talent's home office address as the worksite location. When sending the Symmetry Guided onboarding task, a new "Use Talent Home Office" option appears in the worksite dropdown, giving you the flexibility to process tax forms even when talent aren't yet associated with specific job assignments. Administrators can also now configure Automation Rules with a Talent Status trigger to include workflows containing Symmetry Guided tasks — a combination that was previously blocked.
Why?
During early-stage onboarding, many talent haven't been assigned to specific jobs yet — but still need to complete tax withholding forms to move forward in the hiring process. Previously, you had to wait until a job assignment existed before sending Symmetry Guided tasks, adding delays to your onboarding timeline. Additionally, administrators who tried to automate this step using a Talent Status trigger received an error that blocked them from selecting workflows with Symmetry Guided tasks at all.
By allowing the talent's home office address to serve as the worksite, and by removing the restriction on Talent Status automation triggers, you can now initiate tax form completion earlier in the process — streamlining onboarding and reducing time-to-placement.
How does this impact you?
When sending Symmetry Guided tasks — either individually or within onboarding workflows — you'll see a redesigned worksite dropdown. The dropdown now reads "Select a Job to determine the correct worksite for tax forms" and includes a "Use Talent Home Office" option at the top, followed by any jobs associated with the talent.
If the talent's home office address doesn't meet validation requirements, you'll receive an error message prompting you to review the address configuration in System Settings before the task can be sent.
For talent completing the forms, the experience remains seamless. When they open the Symmetry Guided task, they'll see either "Work Address" (for job-based worksites) or "Home Office" (for home office worksites) displayed on the verification screen.
Administrators configuring Automation Rules will no longer see an error when selecting a workflow containing Symmetry Guided tasks under an Onboarding rule with a Talent Status trigger. BOLD's Automation will automatically use the talent's home office as the worksite.

SMS Communication Log - Live

What is the improvement?
AviontéBOLD now includes an SMS Communication Log—a centralized viewer in Utilities that displays all Twilio SMS messages sent and received across your entire environment. Users with the SMS Communication Log permission can access a full message history, including sender and recipient phone numbers, message content, and delivery status.
This also marks the first time administrators can view inbound messages from phone numbers not yet associated to any Talent or Contact record—giving your team full visibility into SMS activity that was previously invisible in BOLD.
Why?
When your team sends and receives SMS messages at volume, tracking down communication history—or diagnosing a failed message—has required logging into Twilio directly. The SMS Communication Log eliminates that friction by surfacing your environment's full SMS activity inside AviontéBOLD.
Administrators can now audit outbound messages tied to specific HCM users, verify delivery status at a glance, and catch undelivered or failed messages before they impact a placement. For inbound messages, the log captures all incoming SMS activity—even from senders who aren't yet in your system—giving you a complete picture of communication across your environment.
How does this impact you?
Users with the SMS Communication Log permission will see a new Communication Log tile in Utilities. The viewer displays each message's SID, date/time, direction, sender, recipient, body, and delivery status. Outbound messages also show the sending HCM User and the linked Talent or Contact profile. Use the Filters button to narrow results by date range or phone number (full 10-digit numbers required).
System Setting/User Permission Update: A new user permission, SMS Communication Log, has been added under Admin > Utilities in User Permissions and User Types. This permission is not automatically granted—administrators must assign it to the appropriate users or user types. Enabling SMS Communication Log will automatically enable the parent Utilities permission if it is not already active.

State-Specific Overtime Rule Configuration - Live

What is the improvement?
Administrators can now configure which Overtime (OT) Rules appear during job creation based on the job location's country, state, or province. When creating or editing jobs manually in AviontéBOLD, users will only see OT Rules compatible with the job's location, including OT Rules that are configured to be available system-wide.
Why?
Previously, all OT Rules appeared in the dropdown regardless of job location, leading to incorrect selections that created downstream issues for payroll and billing. This enhancement provides guardrails that is already a function in the Create a Job flyout, helping users select the correct OT Rule for their worksite location.
How does this impact you?
For Administrators:
- Navigate to Back Office > Management > Overtime Rules to configure location-specific OT Rules
- When creating or editing an OT Rule, use the new Country and State/Province dropdowns to specify where this rule should be available
- Leave these fields blank to keep an OT Rule available system-wide across all locations
- Important: If an OT Rule is marked as "Default Rule," you cannot configure location filters for that rule. If you mark an existing rule with location configuration as the Default Rule, the system will warn you that the location configuration will be removed
- Review Company-level Custom Job Order Templates to ensure they don't contain OT Rules with location configurations that aren't relevant to all intended use cases. Templates containing OT Rules will bypass location filtering logic
For Users Creating Jobs:
- The OT Rule dropdown follows a specific defaulting hierarchy to select the most appropriate rule:
- If you use a job template that contains an OT Rule, that rule will appear even if its location configuration doesn't match the job's location. Locked templates will prevent you from changing the OT Rule
- If no template OT Rule is specified, the system will default to the Company Default OT Rule (if set and compatible with the job's location)
- If no Company Default is available, the system will use the System Default OT Rule
- If no System Default exists, the dropdown defaults to the first OT Rule in the filtered list
- Once you select the job's location for a job, the OT Rule dropdown will automatically filter to display only relevant options for that location
- You'll see OT Rules that are either configured as system-wide or specific to the job's location state/province
- This streamlined list reduces selection errors and helps ensure accurate payroll and billing
Note: This enhancement applies to manual job creation and editing in BOLD. Location filtering does not apply to jobs created via Job Import, API, or at the placement level. OT Rule selection at the placement level remains unchanged.

DataLink Field Expansion — Live | Off Cycle

This release does not follow our normal two week release cycle.
What is the improvement?
DataLink now includes additional fields across reporting tables, giving users access to more complete data for analysis and reporting. The following fields have been added:
- Work Week Ending Date — identifies the specific work week a time entry transaction belongs to, available in the date dimension.
- Placement Overtime Rule — the overtime rule configured at the placement level.
- Placement Overtime Pay — the overtime pay rate configured at the placement level.

Why?
DataLink users building reports and analytics workflows need access to field-level data that reflects how transactions and placements are actually configured in BOLD. Without Work Week Ending Date, reporting on weekly transaction trends required workarounds. Without placement-level pay rule fields, reports pulling from job-level data could produce inaccurate results when placement settings differed.
These additions close those gaps, allowing for more precise and complete reporting directly from DataLink.
How does this impact you?
These fields are now available in DataLink and can be added to reports and extracts without any changes to your existing DataLink setup. No configuration is required to access them.

The Transaction Info and Transaction Detail Info reports in AviontéBOLD now include worksite state as a displayed field, giving you direct access to worksite location data within these reports without needing to cross-reference other sources.
Why?
Worksite state is a key data point for payroll compliance, tax jurisdiction accuracy, and client billing reconciliation. Previously, teams were required to look up location details separately, adding unnecessary steps to weekly and monthly reporting workflows. Having worksite state displayed directly in these reports streamlines the review process and reduces the risk of errors tied to manual lookups.
How does this impact you?
The worksite state field is now visible within both the Transaction Info and Transaction Detail Info reports. No configuration changes are required — simply run either report as you normally would and the worksite state column will appear in the results.
If you export these reports for client billing or payroll processing, your export layout may now include the additional column. Review any downstream templates or integrations that consume this report data to confirm the new field does not disrupt existing formats.

Back Office | Required Extras Auto-Added on Record Creation - Live

What is the improvement?
When a new record is created in AviontéBOLD and pushed to Back Office, any Extras configured with a Record Requirement of Node in Back Office Admin Tools are now automatically added to the newly created record, appearing under the Custom Fields section for that record in BOLD Front Office. This applies to the following record types:
- Talent
- Company
- Company Office
- Job
- Placement
This ensures required metadata is applied at the time of record creation without any manual intervention.
Why?
Extras set to automatically apply upon record creation are now included, resulting in complete records in Back Office and requiring no manual follow-up to add missing metadata.
How does this impact you?
No changes to your workflow are required. However, you should review your current setup and ensure that the RecordRequirement Property is set correctly for your Extras.
When you create a new talent, company, company office, job, or placement in AviontéBOLD, the Back Office processing now automatically checks for any Extras configured with RecordRequirement = Node in BO Admin Tools > Config Choice > Choice Property. If applicable Extras are found, they are added to the new record automatically.
- Extras with RecordRequirement = Node are applied to new records
- If no applicable Extras are configured, the processing completes as normal with no impact
- Talent Extras must have a category of EmployeeExtra and be enabled for the talent's branch

The 24/7 WORK mobile app now provides in-app access to key talent portal features that previously required talent to exit the app and log into the BOLD talent portal separately. Talent can now manage important tasks directly from their profile screen within the mobile app without switching between platforms.
Features now accessible within the mobile app include:
- Document upload
- Resume upload
- Direct deposit setup
Why?
Talent previously had to exit the mobile app and navigate to the BOLD talent portal website separately to complete essential tasks like uploading documents, updating their resume, or setting up direct deposit. This created unnecessary friction and required them to remember separate login credentials or repeatedly authenticate.
By bringing these features directly into the mobile app, talent can complete these tasks without interrupting their mobile experience. Authentication happens seamlessly in the background.
How does this impact you?
For Staffing Agencies:
- Talent can access document upload, resume updates, and direct deposit setup directly from their profile screen without leaving the app
- Talent no longer need to separately log into the BOLD talent portal website for these common tasks, reducing friction and improving their experience

New User Groups UI – Live

What is the improvement?
The User Groups interface in AviontéBOLD has been redesigned with a modernized layout. The updated page includes a search bar to quickly filter groups by name, paginated navigation for organizations with many groups, and member avatar previews showing who belongs to each group at a glance. The Edit User Group page now features a dedicated search panel for finding and adding members by name, replacing the previous modal experience.

Managing user groups in large organizations previously required scrolling through an unsearchable list, making it time-consuming to locate specific groups or confirm membership. When your sales representatives complete calls or meetings—pitching candidates, conducting business reviews, discussing proposals, or performing quality checks—capturing these details consistently has been a challenge. Reps often forget to document important activities in notes or don't have time to write comprehensive summaries, leaving you with incomplete data for coaching and performance analysis. With configurable activity details, you gain consistent visibility into what your team is actually doing with clients. You can identify which activities correlate with successful placements, spot gaps in rep activity patterns, and provide targeted coaching based on real data rather than anecdotal information. This structured approach transforms activity tracking from a documentation burden into a strategic coaching and reporting tool.
How does this impact you?
To configure custom activity details:
- Navigate to Table Editor
- Access a new "Contact Details & Results" configuration area
- Define custom metadata options that reflect your organization's sales activities
Once configured, your team will see a multi-select "Details / Results" dropdown whenever they log or edit Contact Activities and Tasks. This metadata is also accessible through the Partner API for integration with external reporting tools or workflows.

SMS Consent Verbiage Update - Live

What is the improvement?
The SMS consent language displayed to Talent and online applicants has been updated to provide clearer context about the types of text messages they may receive from a staffing agency. The opt-in and opt-out verbiage now explicitly names the categories of employment-related communications—such as openings, offers, opportunities, confirmations, questions, and reminders—so Talent can make a fully informed decision before agreeing to receive SMS messages.
Why?
Carrier regulations around SMS consent have tightened, requiring businesses to be more specific about the types of messages recipients can expect. Previously, the consent language was general, leaving Talent without a clear picture of what they were agreeing to. This update ensures the consent experience meets current carrier standards and gives Talent the transparency they need to feel confident in their choice—whether they opt in or opt out.
How does this impact you?
No action is required from administrators. The updated consent language will automatically display to Talent and online applicants during the Text Messaging opt-in and opt-out flow in the Talent Portal and Onboarding tasks. Additionally, this consent verbiage change does not require employees that have already consented to consent again. The new verbiage reads as follows:
Opt-In: "Yes, I authorize Avionté on behalf of {Employer Names} to send SMS text messages about current, future, or past employment (such as openings, offers, opportunities, confirmations, questions, and reminders) using an automatic dialing system. If I do not wish to receive SMS text messages, I can unsubscribe by Opting-Out from the Talent Portal/Onboarding Task or responding to a text with STOP, STOPALL, UNSUBSCRIBE, CANCEL, END, or QUIT. I understand standard text messaging rates and fees from my mobile carrier may apply and message frequency may vary."

DataLink now includes the following background screening fields from talent profiles:
- Talent Given Consent: Whether the talent has consented to background screening
- Date of Consent: When consent was provided
- Provider: The background screening provider used
- Package: The screening package selected

- Score: Screening score result
- Order Date: When the screening was ordered
- Completed Date: When the screening was completed
