  • Which companies are on hold, and what's the reason?

  • When was a company last contacted?

Field Category How to Use It
Credit & Risk Credit Limit sets the debt ceiling before a company must lower its balance to keep using services. Warning Value Type and Warning Value work together to flag when a company approaches that limit — as either a percentage or a specific dollar amount. The four AR Age buckets (0-30, 31-60, 61-90, Over 90 Days) break the AR Invoice Total Balance down by how long each invoice has been outstanding, while Current Age Total Balance shows the remaining balance owed.
Invoicing & Billing Setup Invoice Style, Invoice Separate By, and Invoice Group By determine the format and grouping of a company's invoices (for example, by Department or Office). Automatically Email Monthly Statements, Email Statements To, and Print Invoice indicate how and where statements and invoices are delivered. Billing Period and Billing Cycle define how often and during which week of the month a company is billed.
Pay & Time Settings Pay Period and Pay Cycle define how often and during which week of the month a company's talent is paid. Time Capture Method (for example, Timesheet or Batch Hours) and Rate Type (for example, Hourly) show how time and pay are captured and calculated by default for the company.
Financial Totals The Total Invoice Amount and Total Hours fields for the Current Year, One Year Ago, and Two Years Ago let you compare invoice and hours volume across the current year and the two prior years. These column labels advance automatically each year.
Agency & Markup Agency and Agency Fee identify companies connected through a third-party agency and the fee charged for that relationship. Default Mark Up, VMS Fee %, Contract Markup %, and Permanent Markup % show the profit and fee percentages applied when billing the company.

Understanding What You're Seeing

Multi-year totals: The Total Invoice Amount and Total Hours fields for the Current Year, One Year Ago, and Two Years Ago always reflect the current year and the two years prior — the column labels shift forward automatically as each new year begins.

Blank warning or hold fields: If Warning Value Type, Warning Value, or Hold Code are blank, the company does not currently have a credit warning threshold or hold in place.

AR aging buckets: The four AR Age Total Balance columns (0-30, 31-60, 61-90, and Over 90 Days) divide up the AR Invoice Total Balance based on how long each outstanding invoice has been unpaid.

Dynamic Extra Values: The Extra Values field displays whichever custom extra values are configured for each company and populates dynamically based on the companies in your filtered results.

Practical Applications

Credit Risk Monitoring

Credit and collections teams can review Credit Limit, Warning Value, and the AR Age Total Balance columns together to identify companies approaching their limit or carrying significant balances in the oldest aging buckets, then prioritize outreach accordingly.

Billing and Invoice Setup Verification

Billing managers can confirm Invoice Style, Invoice Separate By, Invoice Group By, and delivery settings (Email Invoice To, Print Invoice, Automatically Email Monthly Statements) are configured correctly for each company before a billing run.

Account Management and Relationship Reviews

Account managers can pull a single company's profile, contact, and Last Contact Date fields to prepare for client conversations, and cross-reference Company Representative to confirm account ownership.

Multi-Year Trend Analysis

Finance teams can compare the Total Invoice Amount and Total Hours fields for the Current Year, One Year Ago, and Two Years Ago to spot growing or declining accounts and support forecasting and account planning.

Agency and Profitability Review

Sales and operations managers can filter to companies with an Agency assigned and review Agency Fee, Default Mark Up, VMS Fee %, Contract Markup %, and Permanent Markup % to evaluate the profitability and fee structure of each account.
